Overview

Under general supervision, the Corporate Executive Assistant performs administrative work of a complex and confidential nature for an executive level officer. This team member has contact with other departments, as well as senior management and high-level officers both internal and external to GM Financial. Seeking highly skilled and technically proficient Executive Assistant to provide comprehensive support to our CIO in a dynamic and fast-paced FinTech environment. The ideal candidate will have a strong technical background, coupled with superb organizational and communication skills. This role requires combination of project management, technical proficiency, and operational support to ensure effective management of CIO’s initiatives.
Responsibilities:

  • Managing, planning, and executing projects across multiple teams
  • Advanced and accurate typing and word processing skills, with the ability to type + WPM
  • Review and distribute incoming mail as well as collect and route all outgoing mail
  • Schedule and coordinate appointments, meetings, conferences, and conference calls
  • Ability to multi-task and meet tight deadlines, work independently with limited supervision
  • Copy all invoices, and distribute to appropriate individual for approval, while handling any invoice problems
  • Establish and maintain hard copy and/or electronic filing systems for departmental data, documents, and other materials
  • Excellent organizational skills and proficiency in a full range of office responsibilities and procedures
  • Working knowledge of Microsoft Office products, Word, Excel, Outlook, Power Point, Access, and Project
  • Ability to make independent decisions, solve problems, and exercise discretion relating to the performance of day-to-day duties
  • Screen and route telephone calls while accurately recording and routing messages on a timely basis
  • Finalize prepared documents (formatting, grammar/spelling, page numbers) prior to dissemination
  • Prepare and follow-up on meetings, including taking minutes, creating action items, and ensuring progress. Stay updated on relevant FinTech and IT trends, using this knowledge to provide valuable input and support for strategic planning
  • Participate on special and confidential projects as needed, handling confidential matters and information
  • Promote a positive, cooperative and professional attitude when interacting with other departments, customers, dealerships, and vendors
  • Advanced grammar, spelling, proofreading skills, oral and written communication skills,
  • Arrange all necessary travel arrangements that include airfare, lodging, and rental car
  • Serve as a liaison between the CIO and other departments, helping to communicate the CIO’s directives and to collect and relay information as necessary
  • Customer service strategies and techniques (eg, handling customer complaints, checking for customer satisfaction)
  • Maintain and update electronic calendars and task lists for management assuring that complete information is available for all matters
  • Prepare and distribute professional quality documents, reports, or presentations
Qualifications:
Experience
  • 5-7 years experience performing complex secretarial duties, with experience performing administrative duties for executive level management preferred
  • Bachelor’s Degree and/or completion of secretarial courses preferred
  • Proven experience managing and prioritizing access to senior and executive levels of management required
  • Experience interacting with and supporting senior and executive levels of management required
  • High School Diploma or equivalent required
  • Demonstrated ability to work independently and accurately with attaining a high level of accountability required
