JOB SUMMARY

POET’s Corporate Administrative Coordinator is responsible for providing key support to POET’s Finance team. In this position, you will be relied upon to coordinate and organize team priorities and support your team’s collaborative culture in a fast-paced environment with tight timelines. You will be trusted to work with confidential and sensitive information in order to support the team’s goals, priorities, and strategy. No task is too big or too small - you understand the importance of a cohesive team and thrive on helping your teammates and anticipating their needs. You are eager to pitch in when it comes to the day to day needs of your team. DURING A TYPICAL DAY

  • Coordinating daily, monthly, and annual timelines and checklists for a variety of processes.
  • Assisting the Corporate Controller - maintaining appointment calendar, making decisions about scheduling priority, executing projects, and providing trusted support wherever needed.
  • Since we’re all about teamwork and getting the job done, your skills will be put to a lot of other uses!
  • Utilizing knowledge of team priorities, relationships, empathy and your own creative spirit to anticipate the needs of team members and to strengthen the hard-working, fun-spirited team culture.
  • Participating in talent recruitment and organizing onboarding of new team members.
  • Creating and maintaining presentation materials and other deliverables.
  • Recognizing opportunities and organizing chaos within processes, calendars, communication, priorities, etc.
  • Organizing team building events, building agendas, and championing team culture.
  • Scheduling meetings and managing logistics for teammates as needed.
  • Supporting external projects and processes and coordinating with external stakeholders.
  • Planning and scheduling all travel for the team.
  • Maintaining a team environment at all times and championing POET in the community.
  • Attending key meetings for the team and communicating/executing action items and key takeaways.

  • You are exceptionally organized and possess the ability to proactively and independently manage various tasks and shifting priorities.
  • High school diploma or equivalent required; Bachelor’s degree in a related field strongly preferred.
  • You are accustomed to operating under tight deadlines and possess an unfailing eye for detail, even when working within a fast-paced, results-oriented environment.
  • You are naturally empathetic and are rewarded by helping others, you understand the value in working together to achieve common goals.
  • Three (3) or more years of relevant experience.
  • You are a trusted professional and operate with the utmost integrity, discretion, and confidentiality.
