Background


Founded in 1863, Saint Mary's is a residential campus nestled 20 miles east of San Francisco in the picturesque Moraga Valley. Responsibilities


Under the supervision of the Dean of the Core, the administrative assistant will oversee the day to day operations of the Honors Program, the Summer Program, the Informal Curriculum of the Collegiate Seminar and the January Term, maintains the websites for all of these programs , and performs other duties and special projects as assigned by the Dean of the Core.


Coordinates the events for the Informal Curriculum of the Collegiate Seminar:


  • Collects and summarizes feedback for each event.
  • Works with Collegiate Seminar Director to maintain the budget for the informal curriculum,
  • Assist in operational functions of planning the events, advertising/communications/marketing 2) maintains records of student attendance at each event
  • Helps to recruit speakers
  • Works with the Collegiate Seminar Director and members of the Collegiate Seminar Governing Board to oversee the budget for the informal curriculum


Coordinates The Events For The Honors Program


  • Maintains records on student progress as well as faculty and alumni involvement in the program and assists in daily administrative and support tasks
  • Acts as a liaison between academic and support services on campus, including the Seminar Program, the English Department, the Business Office, Admissions, Facilities, Registrar, Communications, Events, Residence Life
  • Coordinates partnerships, including with Phi Kappa Phi and other local and national Honors organizations.
  • Works with the Honors Director to oversee the program budget and process financial transactions and invoices
  • Manages the Honors spaces, including the lounge, the study, and the office
  • Interacts with Honors students, including peer mentors, student commissioners and student workers, offers weekly office hours, supports the Student Commission and LLC and
  • Assists in key operational functions, including program development, program review, communications, marketing, and events
  • Organizes Honors curriculum and events, including contracts, colloquiums, speaker events, co-curricular and social events, service projects, recruitment events, conferences, orientations etc.


Maintains the websites for the Honors Program, the Summer Program, the January Term Program, Colleigate Seminar, and the Core Curriculum and works with MAR/COMM about updating events, adding content (e.g. stories, photos, video), and posting on social media.


Special projects which include: scheduling rooms, attendance at meetings (as needed) and assisting in SEM and Jan Term projects, especially during times when the administrative demands of each program overlap.


Assist the Dean of the Core with the scheduling/planning and day to day operations of the Summer Program including the development of a summer academy for high school students.


Hold regular office hours to meet with students regarding Core programs

Full Time Benefits: Staff employees who work a minimum of 1,560 hours per year (80% of full time non-exempt and 75% for exempt) and faculty teaching 6 or more courses per academic year.
