Job Description
Status: Full Time, Exempt
Reports To: Chief Financial Officer (CFO)
A. Purpose and Scope of Position
This position is responsible for the accounting operations of the company, including the production of periodic financial reports, maintenance of an adequate system of accounting records, and a comprehensive set of controls and budgets designed to mitigate risk, enhance the accuracy of the company's reported financial results, and ensure that reported results comply with generally accepted accounting principles and international financial reporting standards.
B. Organizational Relationship
This position reports to the CFO and is responsible for communicating effectively with other individuals within the Finance, Sales, Operations, Purchasing, Legal, Inventory, and Human Resources.
C. Duties and Responsibilities
1. Specific Job Duties/Responsibilities
• Support Xtant’s mission to design, manufacture, and distribute innovative, safe, reliable, and cost-effective solutions for the medical needs of patients.
• Represent the company in a professional manner to the public, customers, and vendors, and maintain trusting relationships with physician partners, customers, and fellow employees.
• Ensure the timely and accurate reporting of the Company’s financial results in accordance with GAAP, resulting in continuously compliant internal, as well as external (SEC), reporting. Through the application of proper controls, procedures, and technical accounting, avoid the potential for any restatement of historically reported results.
• Provide timely monthly financial statements at the company and department level.
• Manage the financial-related systems by ensuring maximum productivity and that it meets the needs of the business today and in the future.
• Oversee the continuous improvement of the day-to-day Accounting and Financial processes and the development of the team with the goal to achieve best practices and optimal output.
• Maintain an adequate system of internal controls over accounting transactions and compilation of financial statements.
• Prepare, oversee, and assist in any external or internal audits as needed.
• Assist the CFO in developing the annual budget on a department-level basis. Provide continuous reporting of actual performance against the budget throughout the year.
• Provide financial analyses as needed, to support capital investments, pricing decisions, and contract negotiations.
• Obtain and maintain a thorough understanding of the financial reporting and general ledger structure.
• Supervise, train, and develop direct reports, and support overall department goals and objectives.
• Analyze expense and revenue lines in the P&L on a monthly basis and provide written commentary/variance analysis for assigned areas/centers.
• Create, analyze, and give recommendations based on income statements, cash flow statements, and balance sheets.
• Monitors and analyzes department work to develop more efficient procedures and use of resources while maintaining a high level of accuracy.
• Advises staff regarding the handling of non-routine transactions.
• Responds to inquiries from the CFO, and other support and field personnel regarding financial results, special reporting requests, etc.
• Work with the CFO to ensure a clean and timely year-end audit as well as any other audits and prepare any assigned schedules.
• Support management with special projects such as the drafting and implementation of departmental policies, procedures, controls, systems, etc.
• Document policies, procedures, and workflow for assigned areas of responsibility.
• Ensure financial records are maintained in compliance with accounting policies and procedures.
• Work with each direct report to establish goals and objectives for each year and monitor and advise on the progress to enhance the professional development of staff.
2. Financial Responsibilities
• Submit timely expense reports and abide by the Expense Reimbursement Policy
3. Training
• Participate in training plans and programs and complete them in a timely manner within set deadlines.
• Train and supervise the training of others in Department activities. May review employee training records.
4. Interdepartmental duties and responsibilities
• Works with and supports Sales, Executive level management, etc.
• Develop costing analysis and production cost tracking and improvements with Operations.
• Assist sales in maintaining margin and profitability assessment tools under the guidance of FPA.
• Coordinate interdepartmental KPIs that are a natural complement to the financial goals of the company.
• Assist Sales, Marketing and Operations in understanding financial statements regarding individual departments and interaction with other departments.
5. Management
• This position does supervise others.
• Ensure the team delivers the highest standard of departmental, cross-departmental, and cross-foundation teamwork and customer service.
• Develop team goals that are fully aligned with the company goals.
• Assist in the hiring of skilled, responsible, and ethical individuals for the Finance Department.
6. Document Control and Record Control
• Assist in the completion and retention of documentation pertaining to SOPs.
• Maintain information in physical and electronic files as required.
7. Performance of Duties
• Complete required training prior to performing tasks, including initial orientation. Keep training up to date.
• Perform all duties according to established procedures and follow appropriate safety precautions and measures.
• Conduct yourself professionally and courteously in all aspects of interaction with fellow employees, surgeons, staff, consumers, and end users.
• Maintain a clean and safe working environment at all times.
• Must maintain the confidentiality of donor and recipient information.
D. Job Requirements
1. Education, Credentials, Experience, & Training
• Bachelor’s or Master’s degree in Finance, Accounting, Economics, or Statistics is required.
• CPA is required.
• A combination of industry and/or public accounting experience with exposure to SEC and financial reporting.
• Comprehensive knowledge of accepted accounting principles and procedures.
2. Technical Requirements/Skills
• Ability and experience in creating and implementing management policies.
• Skill and experience in budget preparation and fiscal management.
• Ability to communicate effectively, both orally and in writing.
• Ability to multitask.
• Must possess excellent organizational skills and strong attention to detail.
• Computer skills required such as basic knowledge of MS Word, Excel, PowerPoint, Outlook, and other finance software as necessary.
• Ability to investigate and analyze information and draw conclusions.
• Must possess exemplary communication and writing skills.
• Demonstrates expertise in a variety of the field’s concepts, practices, and procedures.
• Utilizes extensive experience and judgment to plan and accomplish goals.
• Ability to maintain good working relationships with all co-workers and the general public and use good judgment in recognizing scope and authority.
• Some experience with records maintenance and document control preferred.
3. Managerial Experience
• Minimum of five (7) years’ experience in supervision, training, and instruction of others.
• Participate in performance reviews and issue performance correction notices as necessary.
• Ability to train, cross-train, direct, and mentor others.
4. Special Requirements/Physical Capabilities or Abilities, other Additional Desirable Qualifications
• Must be able to reason independently and work with minimal guidance.
• Ability to interpret data and make sound judgments based on those interpretations.
• Must deal effectively with a wide variety of personalities and situations requiring tact, judgment, and poise.

• Must be able to manage customers and physician partners.
• Ability to maintain good working relationships with all co-workers and the general public and use good judgment in recognizing scope and authority.
• Must be able to prepare and make presentations to staff, board members, clients, potential clients, and others as required.
• Must possess mobility to work in a standard office setting and use standard office equipment and attend meetings at various sites within and away from the office.
5. Working Conditions
• Working conditions are normal for an office environment. Standard office hours are Monday – Friday; 8:00 am – 5:00 pm. Work will require frequent weekend/evening work and travel.
6. Health and Safety
• Must adhere to all health and safety requirements specified when entering laboratory and device manufacturing areas and in the handling of company products.
• May require OSHA (bloodborne pathogen) training, MSDS/SDS, and other safety training as applicable.
• Must be able to lift 40 lbs.
