Department Profile

Student Health is a full service on campus primary healthcare facility for UCSB students. We see students on both an appointment and walk in basis. Our auxiliary services included on-site laboratory, pharmacy, x-ray, lab and physical therapy. Our specialty services include psychiatry and sports medicine. An extensive alcohol and drug program compliments other behavioral health services.

Brief Summary of Job Duties

The Clinical and Administrative Lead Medical Assistant will report to the Nursing Director and provide support to Clinical Lead Medical Assistants and Medical Assistants in each clinic. The Clinical and Administrative Lead Medical Assistant will function as the subject matter expert in the Medical Assistant's role and responsibilities. The Clinical and Administrative Lead Medical Assistant will provide oversight of the orientation process, yearly competencies, and fill in for the Clinical Lead Medical Assistants role as needed. Will perform administrative clinical duties within each clinic, update PNC medical record as needed, answer Clinician inbox questions, and reschedule appointments when Clinicians are not available.

Required Qualifications

  • Certified Nursing Assistant (CAN)
  • Certification with one of the following agencies*:
    • American Association of Medical Assistants (AMA),
    • American Medical Technologists (AMT),
    • California Certifying Board of Medical Assistants (CMCMA),
    • Local Emergency Medical Services Agency (LEMSA),
    • Emergency Medical Services Authority (EMSA),
    • Certified Nursing Assistant (CAN)
  • Local Emergency Medical Services Agency (LEMSA),
  • High school diploma or equivalent
  • Emergency Medical Services Authority (EMSA),
  • California Certifying Board of Medical Assistants (CMCMA),
  • American Medical Technologists (AMT),
  • American Association of Medical Assistants (AMA),

  • To comply with Santa Barbara County Public Health Department Health Officer Order, this position must provide evidence of annual influenza vaccination, or wear a surgical mask while working in patient care areas during the influenza season.
  • Student Health is closed between the Christmas and New Year's Day holidays.
  • Must successfully complete and pass the background check and credentialing process before employment and date of hire.
  • Any HIPAA or FERPA violation is subject to disciplinary action.
  • Mandated reporting requirements of Child Abuse

Job Functions/Percentage of Time/Duties

Manage/Submit PNC Documents
40% Essential Duties
  • Complete all referrals submitted to PNC Referrals in-box. This task entails ensuring that the appropriate details and information is provided on each insurance referral form so as to ensure appropriate referral and reimbursement for each patient.
  • Establish and maintain the generic Prior Authorization in-box. Complete all Prior Authorizations in order for students to receive medications as prescribed by the provider. This involves coordination with pharmacies as well as insurance carriers.
  • Complete Ultrasound image uploads in PNC.
  • Assists students in scheduling appointments with outside SHS providers including medical and behavioral health specialists and imaging studies.
  • Manage travel folder from PNC as it relates to education abroad program specifics. Including immunization requirements and other travel country specific requirements.
  • Manage Medical Clearance forms obtained from PNC related to students health clearance in education abroad programs, sports participation programs, outside authorizations for surgical clearance or other medical or behavioral health treatment.

Onboarding/Trainer
40% Essential Duties

  • In conjunction with the Clinical Supervisor, works on the Medical Assistants yearly competencies.
  • In conjunction with the Clinical Supervisor, works on the Medical Assistant trainings, coordinates the Medical Assistant preceptorships, schedules and provides oversight of onboarding competencies.
  • Provide PNC training as it relates to the medical assistant role to all new Medical Assistants and any Medical Assistants needing additional support.
  • Train the Clinical Lead Medical Assistants (MA 2) on all clinic operational flow (i.e. Red, Green, Silver clinics).

Miscellaneous Duties
10% Essential Duties

  • Huddle daily with each clinic and the Clinical lead Medical Assistant (MA 2) for that clinic.
  • Submit Long-Acting Reversible Contraception (LARC) orders and special supply orders to ensure adequate supplies are always readily available.
  • Function as a Medical Assistant when needed. Including, but not limited to, front and/or back office duties.
  • Provide coverage for the Clinical Lead Medical Assistants (MA 2) during absences including covering the Clinical Lead Medical Assistant's (MA 2) inboxes in PnC.
  • Serve as a subject matter expert on Insurance and pricing information in conjunction with the Insurance and Billing Office.
  • Reschedule patients if Clinician/Provider is unavailable
  • Responsible along with the MA 2 for maintaining the daily MA schedule and managing clinical workflow.

Special Projects
10% Essential Duties

  • Assist with AAAHC certification process.
  • Will perform other duties as assigned.
