Job Description

A cutting-edge data capture and reporting platform for healthcare professionals Reporting directly to the CEO and to the President, which are distinct positions within the organization, this role is intended for someone with aspirations towards senior leadership in technology enterprises in the future. You will assist the top management team in coordinating all strategic activities and be involved in strategic discussions as you support this small, well-established medical software company in advancing to the next level.


Responsibilities:

• Planner and key assistant to the CEO and to the President, which are individual, separate positions.

• Organizes company meeting schedule which includes both internal and external events.

• Leading weekly synchronizations with senior leadership to ensure that all projects are on track, meeting milestones, etc.

• Tracks Directly Responsible Individuals (DRIs), gathers status updates from DRI and summarizes the progress of all projects/tasks.

• Creates a comprehensive task list for all the aforementioned activities, ensuring that all meetings and events have an agenda and address relevant topics, priorities, etc. Ensures key individuals are informed about upcoming meetings and adequately prepared.

• Holds the CEO and President accountable for their list of tasks and milestones, particularly for strategic priorities that may otherwise be overlooked – deals in the "important but not urgent" category and keeps the CEO and President on schedule.

• Ensures regular contact with industry influencers, potential partners, and media.

• Collaborates with the senior team to identify impactful business partnership opportunities and maintains regular communication.

• Works with the senior team to identify impactful business process improvement opportunities and develops improvement plans.

• Preparation of presentations for the board. Direct communication with the CFO, CEO, President, and Sales team to gather relevant information for quarterly board meetings.

• Providing support and oversight for special projects and initiatives.


Essential Skills:

• Effective communicator. You enjoy writing emails with a conversational tone while maintaining grammatical accuracy. We will request a writing sample during the hiring process. You possess the ability to work well with people and help them improve their performance. Whether in-person or virtual, you display professionalism, engagement, and the ability to converse with individuals at all levels of the organization.

• Proficient in software usage. Comfortable working with Office suites, Google Docs, Salesforce, Basecamp, and similar tools. Excellent skills in PowerPoint and Excel.

• Quick learner. Must be capable of quickly understanding complex subjects in medicine and technology and engaging in intelligent discussions regarding business-related areas.

• Planning and organizational abilities. You excel at managing multiple tasks and tracking various ongoing projects involving individuals throughout the organization.


Preferred Skills – any one or more of the following are beneficial but not mandatory:

• Business/Finance experience or training

• Software industry experience or training

• Healthcare experience or training

• Proficiency in coding at a business level using Excel, Python, R, or other languages.


The ideal candidate should be open to working on a hybrid schedule with 2 days per week in-office out of Cape Cod, Massachusetts.
