Job Summary
Catering Admin Assistant
Summary: Ensure that events as well as the event documentation progress seamlessly by following established procedures, collaborating with other employees, and ensuring accuracy. Performs a variety of clerical duties, including answering telephones, generating weekly event orders client meetings and event billing.
- Spoonfed Champion for Executive Education. Familiar with Spoonfed functions, makes Executive Education menu changes including seasonal menus and pricing.
- Generate and distribute weekly guest allergen list for all Executive Education groups consisting of photos of participants with severe allergies to be sent out each Friday before the group comes to Campus.
- Meets with Catering Director, and Program Managers clients to detail all event orders.
- Orders all Specialty Meals from Outside Vendors
- Attends and represents Restaurant Associates at weekly, Campus Operations and Room Scheduling meeting.
- Types, formats, proofreads and edits correspondence, reports and other documents.
- Performs other duties as assigned.
- Responsible for proper communication with catering managers, culinary, and stewarding department.
- Organizes event orders and ensure proper distribution with Campus Catering
- Ensure documents are accurate to send to clients, scheduling pre- event client review meetings.
- Monitors Departmental Office Email
- Send out Follow up notes for each meeting and update information, resending revised event orders to clients.
- Prepares, prints and distributes Weekly Guest Signage and Menu Cards.
- Obtains food memos and builds event orders for incoming Executive Education Groups.
- Ensures billing is complete, accurate and turned in on time
- Reviews files, records and other documents to obtain information to respond to requests.
- Orders Office Supplies
- Communicates location of where supplies will be delivered (table numbers, rentals, flowers, etc.)
- Involved in catering events operations, including logistics, quality improvement, sanitation, and all facility-related activities.
