Job Description
  • Run monthly budget vs actual reports
  • Reconcile annual giving and restricted gifts on a monthly basis
  • Must be detail oriented with strong organization and time management skills
  • Journalize incoming credit card, venmo and zelle payments
  • Must be flexible and enjoy the challenges of working in a busy office environment
  • Assist with special projects as requested by the Business Office Team
  • Organize student bussing and serve as main contact for both town and private bus companies
  • Perform other related duties as assigned for the purpose of ensuring the efficient and effective functioning of the business office.
  • Create and update internal telephone directory for faculty and staff
  • Manage distribution of keys and key fobs for all faculty and staff
  • Submit work orders, food orders, reserve space and organize details for business office related meetings
  • Order supplies for the Business Office and the facilities housekeeper
  • Pay sales tax monthly online and assist with Unrelated Business Tax Income (UBIT)
  • Coordinate facility rentals: create agreements, book rental in zebra and invoice renters
  • Ability to multitask and prioritize work activities
  • Expertise in phone systems and other office equipment including: copiers, fax, PC’s, scanners and postage machine
  • Basic accounting knowledge and experience a plus
  • Possess strong interpersonal skills and a high level of customer service
  • Demonstrated experience in Excel, Word, Google Suite, database and financial software required
  • Control and journalize school credit cards
  • Prepare and maintain business office files/records,edit and make updates to key documents and reports and process work of a highly confidential nature
  • Serve as administrator on school accounts including but not limited to Amazon, Staples, Wayfair, SendPro, AT&T teleconference and Verizon Wireless for all school cell phones and hot spots
  • Work with insurance company to issue certificates of liability insurance
  • Greet visitors to the Business office, screen calls and relay messages to the appropriate Business Office Team member
  • Coordinate meetings and communications with vendors, administrators, board members, contractors, faculty, staff, and parents
  • Perform a variety of administrative functions including filing, copying, faxing, emailing, routing correspondence and returning routine calls
  • Main contact for the emergency notification system, BrightArrow, for texts, emails and calls related to emergencies, delays, closures, and bussing issues.
  • The ideal candidate will have at least 3 years of hands-on office experience and/or school building experience. Minimum of a Bachelor’s degree required
