Job Description
Bookkeeper/Office Administrator The primary duties of the Bookkeeper/Office Administrator is to administer the office, provide executive assistance and perform basic bookkeeping functions on a full-time or near full-time basis. This centralized and critical role serves as an important hub to support our organization. The individual should be a person who can be trusted with even the most confidential documents. Thus excel in turning disorganized environments into smooth running operations and completing administrative processes to improve accuracy and efficiency. They must be a quick-learner who always exceeds expectations. Responsible for the administrative/accounting support duties at the Corporate office such as screening calls, making travel arrangements, managing calendars, event or meeting planning, coordinating activities, processing accounts payable invoices and preparing documents, reports, and financial data. Ensures office equipment is functional by completing preventive maintenance requirements; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques. Provides and relays information by answering questions and requests. Maintains inventory of office supplies by checking stock to determine appropriate inventory levels; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies. Act as primary phone coverage; fielding and handling telephone inquiries. Sort and distribute incoming mail; prepare and process all mail requests. Assist executives with special projects/requests. Assist with bookkeeping and/or accounting functions as appropriate. Maintain confidentiality with all employee and company information. May be called upon to assist with special projects. The person who will be successful at this position needs to be passionate, creative, open-minded, flexible, self-directed, team-oriented, and willing to learn. They are also results-driven, detail-oriented, organized, timely and responsible. Essential Functions The essential functions listed below are general examples and not a description of comprehensive duties. Specific duties and responsibilities may vary depending on department or program needs without changing nature or scope of this position or level of responsibility. May be asked to perform other duties as assigned. Screens and directs incoming calls or visitors to the appropriate individual or department. Assist with basic accounting duties as assigned. Reconcile and process employee expense reimbursements and ensure that proper approvals have been obtained. Process Accounts Payable transactions in accounting system. Assists Corporate Executives with scheduling appointments and maintaining updates/changes calendar as needed. Performs varies clerical tasks utilizing knowledge of office systems and procedures. Type letters, correspondences, reports and presentations as needed. Communicates both among the organization and to the community to successfully complete administrative needs as requested. Assists in receipt and submitting of Vendor Bills, expense reports and other accounting assistance as required. Maintains office, provides day-to-day administration through phone, written and face-to-face contract with all those needing assistance from the organization. Maintains an efficient and organized filing system, including contracts lists, and any other pertinent information to the department. Job Qualifications Education Associates Degree in business administration or accounting preferred or equivalent work experience. Experience Minimum of three years in administrative/executive assistance Minimum of two years in bookkeeping assistance Licenses and Certifications None Knowledge, Skills, and Abilities Proven ability to work in a fast paced always changing environment Strong computer skills, MS Outlook, Word, Excel and Power Point Basic accounting experience in A/P and journal entry Detail oriented with a strong attention to detail Ability to work independently to meet deadlines Strong communication and interpersonal skills Strong problem solving ability Ability to read, write and communicate in the English language and assume responsibility for the development, administration, and implementation of specific projects as required.
