Front Desk Administrator

Our practice has an opening for a progressive-minded administator in a two person office that consists of the doctor and the administrator. Your voice, face, and communications are an important point of connection for patients. A familiarity with holistic/integrative medicine and lifestyle would be a significant help, but not essential.

Four days weekly in the office (with occasional need for flexibility in hours)

The doctor believes in maximizing her face to face time with patients, and runs the office in a simple style that reduces overhead, employees, and distractions to the healing art. For information about the practice, please go to healing-oceans.com, our website.


Areas of responsibility will include:

  • Occasional errands.
  • Updating software records with personal and financial information.
  • Using a paperless, Electronic Health Records system for management of records and scheduling patients.
  • Engaging cheerfully with patients in person and via phone, email, and text
  • Maintaining entries in QuickBooks, creating invoices, processing charges, and resolving occasional billing issues.
  • Managing a dynamic environment of patient contact, record-keeping, and planning.
  • Ordering products for sale.
  • Some responsibility to tend to 2 gentle, small dogs.
  • Sending occasional correspondence and electronic records.
  • Enrolling new patients and informing prospective and current patients about the unique ways the office runs and our holistic style of practice


Requirements:

  • Independent and thoughtful professional, with strong communication and organizational skills, capable of managing a work load and prioritizing tasks.
  • Able to handle sensitive patient information with confidentiality
  • Previous experience in an administrative role. Medical office experience not needed.
