Job Type: Regular

Positions Supervised: None
Work Schedule: 240-day contract. Hours are typically 7:30-4:00 daily with a 30-minute lunch and two 15-minute breaks. However, the daily schedule may vary depending on the needs of the district.


POSITION SUMMARY
Perform bookkeeping functions related to various District accounting records, including any combination of routine calculating, posting, and other financial or record-keeping transactions.

Essential Functions Statement(s)
  • Collect and verify W-9 information for all District vendors.
  • Prepare and administer employment contracts.
  • Maintain inventory records.
  • Classify, record, and summarize numerical and financial data to compile and keep financial records, using journals and ledgers or computers.
  • Calculate, prepare, and issue bills, invoices, account statements, and other financial statements according to established procedures.
  • Access computerized financial information to answer general questions as well as those related to specific accounts.
  • Perform financial calculations such as amounts due, interest charges, balances, discounts, equity and principal.
  • Compile statistical, financial, accounting or auditing reports and tables pertaining to such matters as cash receipts, expenditures, accounts payable and receivable, and profits and losses.
  • Comply with federal, state, and district policies, procedures, and regulations.
  • Reconcile or note and report discrepancies found in records.
  • Compute deductions for income and social security taxes.
  • Report suspected bullying to building principal or designee as required by Arkansas law and district policies.
  • Prepare trial balances of books.
  • Assist in preparation of budgets and annual financial reports.
  • Operate computers programmed with accounting software to record, store, and analyze information.
  • Compile budget data and documents, based on estimated revenues and expenses and previous budgets.
  • Adhere to all policies of the District.
  • Monitor status of invoices and accounts to ensure that payments are up to date.
  • Perform other duties as assigned by the Business Manager or Designee.
  • Prepare and process payroll information.
  • Reconcile records of bank transactions.
  • Calculate costs of materials, overhead, and other expenses, based on estimates, quotations and price lists.
  • Complete and submit tax forms and returns, workers' compensation forms, pension contribution forms, and other government documents.
  • Check figures, postings, and documents for correct entry, mathematical accuracy, and proper codes.
  • Calculate and prepare checks for utilities, taxes, and other payments.
  • Operate 10-key calculators, typewriters, and copy machines to perform calculations and produce documents.
  • Debit, credit, and total accounts on computer spreadsheets and databases, using specialized accounting software.
  • Code documents according to district procedures.
  • Compare computer printouts to manually maintained journals to determine if they match.
  • Prepare purchase orders and expense reports.
  • Prepare bank deposits by compiling data from secretaries, verifying and balancing receipts, and sending cash, checks, or other forms of payment to banks.
  • Transfer details from separate journals to general ledgers or data processing sheets.
  • Perform general office duties such as filing, answering telephones, and handling routine correspondence.
  • Report to the proper authorities any cases of suspected child endangerment, neglect, or abuse.
  • Process monthly timesheets of classified employees.
  • Verify and confirm the accuracy of purchase order coding to invoices prior to processing for payment.
  • Receive, record, and deposit cash, checks, and money orders.

SKILLS & ABILITIES

Education: High School Graduate or General Education Degree (GED): Required
Associate's Degree (two year college or technical school) Preferred, Field of Study: Accounting or Business


Experience: Experience as a bookkeeper or related experience that is applicable to the position preferred.


Computer Skills: Shall be able to demonstrate an acceptable level of proficiency with computers and programs associated with the position.


Certifications & Licenses: Certification of training as a bookkeeper preferred.

WORK ENVIRONMENT
Most job responsibilities for this position are performed in an indoor school environment that is temperature controlled (heated and cooled) according to the season. Noise levels are mostly low to moderate.
