Description

The Assistant Property Manager assists the Senior Property Manager with ensuring the overall operation and financial success of a Commercial Class A, high rise building in downtown Nashville, TN, in accordance with company policies, procedures and standards. Represents Highwoods Properties in a professional manner to customers, vendors and the general public.

WORK PERFORMED:

  • Review and understand leases related to assigned portfolio
  • Assist with negotiating and managing vendor contracts within assigned portfolio
  • Assist with coordinating customer projects and follow-up on customer work requests
  • Assist with managing capital improvement projects as assigned
  • Assist in special projects for the department as needed
  • Assist with follow up on all customer move in and move out punch list inspections
  • Assist with the completion/execution of follow-up documentation for all leases
  • Assist with the financial performance of the Class A high rise building in downtown Nashville
  • Coordinate customer move-ins (i.e. welcome packages, etc.) and customer move-outs to promote customer relations and protect the property
  • Develop and implement ideas to reduce operating expenses
  • Assist with assuring optimal functioning of building systems (example, HVAC, fire / life safety, elevators and security systems)
  • Assist with property acquisition and dispositions as requested
  • Adhere to OSHA requirements related to assigned portfolio
  • Assist with researching, preparing and implementing annual budgets including coordination of certain revenue, operating expenses and capital expenditures for building improvements
  • Identify and implement procedures to minimize Owners’ insurance risks
  • Assist with reviewing and providing explanations for monthly operating expense variances greater than 5% and $1,000, as needed
  • Assist with regular property inspections to prevent problems/identify opportunities in accordance with department policy
  • Maintain contact with customers and owner representatives to ensure solid, reliable relationships including implementation of building specific customer relation programs
  • Administer preventative maintenance programs
  • Assist with customer billings and with collection process as requested
  • Adhere to company, division and department policies and procedures and ensure property compliance with codes, regulations and governmental agency directives
  • Assist leasing representatives during customer renewal process
  • Review and monitor daily work order report and weekly outstanding work order report

REQUIREMENTS:

  • Demonstrated leadership / management skills
  • Effective organization, time management, written and oral communication skills
  • Strong interpersonal skills; detail-oriented and analytical ability
  • Computer proficiency in MS Office and Internet

EDUCATION / EXPERIENCE:

  • Bachelor’s Degree or equivalent combination of education and experience preferred
  • Three or more years of property management experience preferred
  • Proven record of providing excellent internal and external customer service
  • Budgeting / reporting experience helpful
  • Previous experience managing capital improvement projects desirable

PHYSICAL DEMANDS:

  • Regularly required to sit, stand, and walk
  • Must be able to inspect all areas of the properties, including roof, parking garage, etc.
