Job Title: Assistant Manager, Live Events & Workplace Experience
A little bit about our team:
You will be a part of the Nashville based Workplace Experience team designed to imagine, create, and maintain innovative work place facilities to accommodate the needs of our ever changing business. We host a variety of physical and virtual events, both live and recorded, including artist performances, interviews, panel discussions, executive addresses, and company conferences. We work with the industry’s leading artists as well as high profile company executives and music producers.
Your role:
This is a client-facing role with additional focus on back-end, infrastructure support and operation of audio-visual equipment and systems. This role will dedicate approximately 50% of time to event operations, and the remaining 50% to facilities operations. High customer service and basic a/v technical event experience are two essential components to this position. The ideal candidate engages clients and assists them, preparing and executing the a/v for meetings and events in a diversity of workplace settings.
You will work with internal and external contacts to manage logistics and production for physical and virtual events. You’ll act as the primary point of contact on the day of the event and run technical operations as needed throughout the event. Our shared goal is for events to run smoothly, and with a positive client experience. On non-event days, you will work closely with team leaders, managers, maintenance team, mailroom, security team, and building/office services contractors to support locations with logistics, coordination, and delivery of excellent day-to-day building and work experience-related services.
Here you’ll get to:
  • Liaise with building management team for Facilities and Security issues.
  • Support Workplace Experience leadership with administrative functions as needed.
  • Assist with moves, repairs, and installations of equipment and furniture throughout the workplace as needed.
  • Based on inspections, make recommendations for changes as well as note deficiencies and ensure corrective action is taken
  • Coordinate supply inventories.
  • Help train and cover reception desks as needed on an emergency basis.
  • Inspect the property, common areas, surroundings for appearance and cleanliness.
  • Special projects as assigned by leaders.
  • Operate technical equipment through live events and performances
  • Create templates and drafts for Office Services messages for office-wide distribution.
  • Manage physical equipment and in house technical systems.
  • Coordinate and maintain Reception Manual information for receptionists and make regular updates to the Reception binder.
  • Process supply orders as directed by Facilities managers and leaders.
  • Assist in creating a Run of Show and Production Schedule with detailed timings from load in to load out.
  • Communicate information and timelines to talent, record labels and corporate teams.
  • Assist with executive meetings, including, but not limited to, ordering food & beverages, supplies, room set up, etc.
  • Assist with onboarding and offboarding process for employees/contractors on an ongoing basis.
  • Document, report, and follow through on inspection findings
  • Work with security vendors to ensure security schedules are current.
  • Coordinate with vendors and building management on building access possibly during after hours and/or weekends.
  • Ensure a clean, safe and welcoming environment for employees and visitors
  • Coordinate with artist teams on band instrumentation and equipment needs.
  • Assist with training coordination for fire drills.
  • Coordinate and conduct hospitality tours for new employees.
  • Monitor and answer Facilities hotline and email accounts.
  • Guide and manage freelance technical crew such as live streaming technicians, FOH operators, lighting technicians, stagehands, etc.
  • Review invoices for accuracy. Process and ensure timely payment.
  • Utilize Workplace Experience shared drives.
  • Monitor and address Facilities’ and Security Service Now tickets.
  • Utilize department files, vendor and building contact lists..
  • Maintain VIP rooms and other designated rooms by ensuring necessary amenities are provided.
  • Ensure the show starts on time and the day runs smoothly.
  • Monitor and assist, when necessary, in greeting and registering VIP guests/visitors
  • Implement beverage policy and procedures
About you:
  • Ability to work OT if required on short notice.
  • You are independent, proactive, flexible, with the ability to collaborate across functions.
  • Computer skills including Word, Excel, PowerPoint.
  • You exhibit an enthusiastic, can-do attitude and approach.
  • You have familiarity with building management procedures
  • Prepared to work onsite daily in Nashville offices
  • Excellent written and verbal communication
  • Ability to multitask; prioritize; be able to work as a team player.
  • Skilled, calm and composed working in a client-facing role.
  • Critical-thinking and problem-solving skills
  • Minimum two years of college education with 2-4 years of corporate event experience.
  • You are self-directed and have strong organizational and problem-solving skills, with the ability to lead and execute in an efficient and timely manner.
  • Attentive to details
  • Willingness to roll up your sleeves and participate in facilities operations activities like moving furniture or stocking supplies
We’d love it if you also had:
  • Experience in the entertainment industry
  • 2-3 Years A/V Technician experience working in a professional environment.
  • Basic understanding of adjusting lighting and speaker placement.
  • Hospitality experience
  • Knowledge of audio consoles and video racks.
  • Understanding A/V signal flow.
  • Project management experience
  • Perform network, audio, and video cable repair as needed.
  • Experience in facilities operations
  • Bachelor’s degree from an accredited university/college.
