About the role:
Boston Scientific’s Cardiology Group Administrative Assistant Team is looking for an engaging, experienced Administrative Assistant III to provide support for the Southeast & Midwest Area Sales Vice Presidents & their Area Teams. We are looking for a professional who works under limited supervision with general instructions given on new assignments, enjoys a fast-paced environment, and loves to collaborate across the team and organization.
Your responsibilities include:
- Viewed as key functional resource
- Responsible for confidential information which typically consists of company/division sensitive information (i.e. new product technology)
- Anticipates and coordinates projects/assignments, organizes own schedule and that of others to meet deadlines. May gather and prepare data in preparation of upcoming projects; identifies future needs to complete projects
- Translates thoughts into documents (letters/memos/presentations, etc.) using existing material; ensures document is logical and complete as well as accurate in grammar and spelling; makes suggestions for improvements in existing communications; ensures written communications are processed through legal and regulatory channels when appropriate
- Manages work in a confidential manner, ensuring information is shared with internal and external individuals in an appropriate manner; provides guidance to peers as necessary regarding proprietary information
- Acts as an informed source of company policies and procedures by answering routine questions or routing to appropriate employees for answers
- Performs general administrative duties that include: calendar management, event coordination, ordering/maintaining supplies, arranging travel and expense reimbursement
- Liaison between Sales reps and leadership team
- Answers complex functional questions that may require additional research and follow-up.
- Responsible for onboarding all new sales employees within their Area teams
What we’re looking for in you:
Basic Qualifications:
- Strong communication skills and interpersonal skills
- 3+ years of administrative experience, providing support to senior level management in a fast-paced organization
- Advanced skills in Outlook, MS Teams, Excel & PowerPoint – Position requirements include managing schedules and communications (Outlook), organizing data files (Teams), creating presentations (PPT) and generating reports (Excel)
- Ability to multitask and self-prioritize requests coming from multiple people
- Ability to work across multiple levels of the internal organization and with external parties
- Self-starter – ability to take on new less-defined tasks
Preferred Qualifications:
- Previous experience interactions with physicians/healthcare professionals (with regards to coordinating meetings/events)
- Healthcare industry work experience
- Team event/meeting coordination
