We are looking for a dynamic, energetic, and experienced assistant bookkeeper to join our team and help us excel at being better than the rest! In this position you be working with multiple small and medium sized businesses and truly make a difference in their ability to grow and be successful. You will be responsible for a variety of accounting functions, including overseeing accounts payable and accounts receivable, general ledger, and preparing financial reports, balance sheets, and payrolls. This role is integral to the successful operation of the Company.


Schedule:


  • Remote/Office hybrid schedule is possible after completing a training period in the office.
  • Hours: Monday to Friday, 32 – 40 hours each week
  • Start Time/End Time have some flexibility

Attributes of a Strong Candidate:


  • Be honest and reliable
  • Must be professional and courteous
  • Microsoft Office (Outlook, Word, Excel), Internet, Canopy, QuickBooks, and Group Me App
  • Ability to Successfully Pass and Complete QuickBooks Online Certification within ninety days of hire date.
  • Must have reliable transportation
  • Ability to problem-solve and offer solutions
  • Ability to effectively handle stress and pressure consistent with the job duties and industry
  • Must have strong computer skills and proficient in the following computer programs:
  • Work independently and take initiative
  • Ability and desire to multitask and prioritize multiple duties and deadlines
  • Strong organizational skills and detail-oriented
  • Possess administrative and financial skills
  • High School diploma required
  • Excellent communication and interpersonal skills
  • Must hold valid Driver’s License


Primary Responsibilities


  • Performs other duties as assigned or otherwise identified.
  • Completes office errands including but not limited to bank runs, mail delivery, lunch orders, etc.
  • Backup Livescan operator.
  • Properly extracts monthly credit card and bank statements.
  • Regular attendance and timeliness.
  • Assists in bookkeeping tasks utilizing provided tools: QuickBooks and QuickBooks Online
  • Coordinates bank deposits and presents financial results and updates to management regularly.
  • Manages Client Cover Sheets and keep updated with new or changing information.
  • Works and cooperates with development of monthly financial statements, including cash flow, profit and loss statements, and balance sheets.
  • Handles and scans all receipts and other pertinent documents timely and efficiently.
  • Utilizes Canopy software to effectively manage client profiles.
  • Supports with vendor invoices and tracking bank account balances.
  • Assists with balancing and maintain ledgers.
  • Performs reconciliation of payroll reports to books.
  • Maintains effective communication with co-workers, Management, Executive Assistant and clients at all times.
  • Provides support to the Executive Assistant with daily tasks including but not limited to bookkeeping appointments, scanning and filing documents, supply orders, inventory, etc.
  • Assists with monitoring client expenses.
  • 1099 Tracking Preparation and Auditing for Compliance
  • Proactively seeks opportunities for improvement in processes and policies.
  • Efficiently manages time to complete tasks and avoid backtracking.
  • Works independently and productively while still keeping open communication with others.
  • Contacts clients via email, phone or text to obtain information as needed.
