This position is located in the State Environmental Laboratory Services Division - Business Support Section in Oklahoma City.


Basic Purpose


Staff in this position will perform daily phone call triage and technical assistance for various customer types. Staff in this position will provide routine customer assistance and outreach via phone and email. This position will be assigned duties and responsibilities for coordinating travel for the division and providing support for purchasing within the division. This position is responsible for invoice tracking and customer account management. Staff in this role will also provide administrative assistance for divisional management and programs.

Typical Functions


  • Administrative record keeping and filing.
  • Reserve conference rooms and maintain division calendars.
  • Write and review administrative and operational procedures and provide training.
  • Serve as backup for reviewing, tracking, and mailing out invoices for payment.
  • Division timekeeper
  • OnBase Document Management
  • Track Past due invoices and process collections for SELS Lab Services
  • Assist Lab Accreditation Program staff with correspondence, billing payments, and past due invoice tracking.
  • Division Travel Coordinator
  • Cox Phones Subject Matter Expert
  • Purchasing workflow backup including OnBase workflow processing
  • Other duties as assigned.
  • Distribute daily mail to management.
  • Primary point of contact (POC) for division via phone, email, and in-person visitors
  • Responsible for assigned customer contacts, business, and technical assistance calls.


Travel Requirements


There is no travel required for this position.


Education And Experience


Six months of clerical office experience; or an equivalent combination of education and experience, substituting one of the following for the required experience: (a) six months of technical or vocational training course work or high school training in business or office machines; or (b) the completion of 15 semester hours from a college or university.


Preference


Previous experience with Oklahoma State Travel procedures is preferred but not required. OnBase experience is preferred but not required.


Physical Requirements


This position requires long periods of sitting and daily use of computer and phone.


Special Requirements


Applicant must have excellent written, verbal, analytical, and organizational skills. Ability to analyze and proofread documents with attention to detail. Effective time management skills, with the ability to manage multiple deadlines simultaneously. Excellent interpersonal skills, including the ability to be tactful and professional and to interact effectively with all levels of staff and external parties. Willingness and desire to take initiative. Ability to work independently on multiple tasks and prioritize. Respond professionally to changing priorities. Applicant must be able to troubleshoot, and problem solve when needed. Applicant must have strong knowledge of and ability to use computer technology to accomplish work efficiently, using email, the Internet, and Microsoft Office Programs, including Word, Excel, Access, and Outlook. Experience with basic phone etiquette and standard business communication.
