Administrative Specialist


Public Safety


The Administrative Specialist for the Department of Public Safety at Canisius College reports to the Director of Public Safety. Under general direction, perform office duties as they relate to the daily responsibilities of the department and works collaboratively with other departments within the College.


Responsibilities


  • Perform general office duties: field incoming calls, email communications, filing, etc.
  • Check deadlines and prioritize duties.
  • Provide administrative support for the Director of Public Safety.
  • Submit job requests for design and printing.
  • Draft correspondence and reports and proofread for accuracy.
  • Maintain inventory of supplies for the office.
  • Organize meetings, provide support materials, record minutes and provide any follow-up necessary to outcome of meetings.
  • Manage finance actions, including direct pay requests and department VISA transactions.
  • Perform data entry as required for various tasks in the College’s Banner system.
  • Provide telephone back up for the general admissions line.
  • Other duties as assigned.
  • Maintain calendar for the Director of Public Safety, confirm appointments, and prepare materials/pull files.
  • Process communication from administrators’ notes.

  • Insight to anticipate the needs of the Director and act upon those needs without director
  • Maintain filing system for crime and other incident reports
  • Professional demeanor required to effectively communicate with both internal and external constituencies
  • The ability to graciously channel requests and call appropriately, leaving the caller with the sense that Canisius College is concerned with their needs and desires to meet them
  • The strict observance of confidentiality, strong decision-making ability, close attention to detail, accuracy and follow-through
  • Maintain budget-related, vendor and special events files
  • The ability to anticipate schedules, deadlines and move projects forward
  • Maintain personnel files, staff training


Qualifications


  • Strong data entry skills.
  • Strong attention to detail.
  • Ability to work effectively and cooperatively within a team
  • Professional demeanor and ability to work effectively with various constituencies including: prospective students, current students, their families, general public, faculty, administrators
  • Computer proficiency with Microsoft Word, Excel, PowerPoint and the ability to learn additional programs, to include the Canisius College BANNER system and CentreSuite (department VISA transactions).
  • Ability to manage multiple activities.
  • Strong organizational, interpersonal, and communication skills

Compensation And Benefits


This is a full-time, 12-month hourly position. Benefits are available the first of the month after the full-time employee’s date of hire and include – health, dental and vision insurance, life and long term disability insurance, and retirement plan enrollment is available to full-time employees with contribution from College after one year. Paid holidays, vacation, personal leave and sick leave. Tuition benefits are also available for full-time employees and their qualified dependents.
