Job Description

This position works full time in our North Portland administrative offices, Monday through Friday, 8:00 am to 5:00 pm. The expected wage rate is $23.00 to $25.00 per hour, depending on experience. Job Summary
This position provides high-level support and assistance to administrative departments and leadership team members in Human Resources, Finance/Accounting, Marketing, and Operations. Works collaboratively with other staff members to deliver on our commitments to providing outstanding service to our customers, providing a great workplace for our employees, and ensuring efficient company operations. The ideal candidate will be someone who thrives in a fast-paced and teamwork-oriented work environment.
Essential Functions & Responsibilities
  • Performs office tasks to include photocopying, faxing, creating files, maintaining records, ordering supplies, and other related activities
  • Assist management team with customer, employee, and financial related projects
  • Welcomes and directs clients and other visitors to the administrative offices
  • Assists employees with questions and information
  • Performs other related duties as assigned
  • Performs clerical and administrative tasks to include drafting letters and memos, reports, and other documents for senior staff
  • Maintains company directories
  • Maintains office supplies and coordinates maintenance of office equipment
  • Records and distributes agendas, minutes and other records for meetings
  • Tracks and responds to customer and/or administrative inquiries and questions
  • Retrieves information as requested from records, email, minutes, and other related documents; prepares written summaries of data when necessary
  • Answers and transfers phone calls, screening when necessary
  • Handles/distributes incoming mail, outgoing mail, and packages
Required Education & Experience
  • High School diploma or equivalent is required, some post-secondary schooling highly preferred
  • Minimum three (3) years’ experience as an administrative assistant or similar relevant position
Desired Skills & Attributes
  • Outstanding communication skills to include speaking, writing, and presenting
  • Completes tasks promptly and with efficiency, able to juggle multiple priorities
  • Strong proficiency with Microsoft Office products to include Word, Excel, PowerPoint
  • Extensive knowledge and capability with office administration, clerical procedures, and recordkeeping systems
  • Strong organizational skills and attention to detail
  • Ability to exercise good judgement regarding sensitive and/or confidential information
  • Excellent attendance record and punctuality
  • Excellent Teamwork and hospitality skills
