Essential Functions & Responsibilities
- Performs office tasks to include photocopying, faxing, creating files, maintaining records, ordering supplies, and other related activities
- Assist management team with customer, employee, and financial related projects
- Welcomes and directs clients and other visitors to the administrative offices
- Assists employees with questions and information
- Performs other related duties as assigned
- Performs clerical and administrative tasks to include drafting letters and memos, reports, and other documents for senior staff
- Maintains company directories
- Maintains office supplies and coordinates maintenance of office equipment
- Records and distributes agendas, minutes and other records for meetings
- Tracks and responds to customer and/or administrative inquiries and questions
- Retrieves information as requested from records, email, minutes, and other related documents; prepares written summaries of data when necessary
- Answers and transfers phone calls, screening when necessary
- Handles/distributes incoming mail, outgoing mail, and packages
- High School diploma or equivalent is required, some post-secondary schooling highly preferred
- Minimum three (3) years’ experience as an administrative assistant or similar relevant position
- Outstanding communication skills to include speaking, writing, and presenting
- Completes tasks promptly and with efficiency, able to juggle multiple priorities
- Strong proficiency with Microsoft Office products to include Word, Excel, PowerPoint
- Extensive knowledge and capability with office administration, clerical procedures, and recordkeeping systems
- Strong organizational skills and attention to detail
- Ability to exercise good judgement regarding sensitive and/or confidential information
- Excellent attendance record and punctuality
- Excellent Teamwork and hospitality skills
