Position Summary


We have an exciting opportunity to join our team as a Administrative Coordinator.


In this role, the successful candidate is responsible for providing administrative oversight of Orthopedic Surgery administrative operations. Manage both administrative, clerical and academic schedules to ensure productivity, revenue maximization and quality customer service standards. In addition, in conjunction with leadership develop policies and procedures, implement new processes and monitor compliance to established guidelines.


Job Responsibilities


  • Recognize routine problems and recommend suggestions, ideas and solutions.
  • Performs and participates in other job-related duties as required.
  • Distribute OR schedule changes and division scorecards to the appropriate parties as necessary.
  • Work closely with the NYULH’s Immigration Team to ensure that all visa holders within the department are in good standing and assist with renewals and/or initial applications for visa sponsorships as necessary.
  • Support the Vice Chair of Clinical Affairs as it relates to extensive calendar management, travel arrangements, meeting planning and coordination, screening and prioritizing requests, completing expense reports and submitting expenses for reimbursement.
  • Assist the Vice Chair while working alongside the Credentialing Department to ensure that all initial appointments, reappointments, OPPE reviews, and other administrative requirements are completed within the designated time frame.
  • Manage the interview process for internal and external faculty candidates. This includes creating an agenda, following up with evaluation grids and reimbursing the candidate for incurred expenses.
  • Maintain and cultivate relationships with other departments or NYU resources that impact departmental administrative operations and customer service standards.
  • Demonstrate knowledge of the organizations Service Standards and incorporate them into the performance of duties.
  • Manage and maintain the Non Traditional Volunteer Program and the Observation Program for the department. This task entails understanding all the nuances of the programs, while ensuring that all candidates are on-boarded per institutional guidelines. Periodic maintenance of their record as it relates to annual compliance and immunization requirements. Resolves all complaints and problems using independent judgment and decision-making skills, to ensure adherence to institutional standards.
  • Act as a department liaison to all stakeholders that require assistance. Promote opportunities for feedback from staff to improve service delivery.
  • Participate in larger departmental initiatives or special projects such as the USN & WR Initiative.
  • Work with the Administration and Operations team, staff and vendors to address concerns as well as administrative, operational and IT issues. Help to identify and quantify operational deficiencies that may be adversely impacting the Department's administrative needs. Specifically, analyze and establish practice standards in line with department goals including standardized workflows, staffing analysis and other operational metrics. Assist in finding solutions to departmental issues.


Minimum Qualifications


Bachelor's Degree required with 3-5 years of relevant experience, or the equivalent combination of education and experience. The successful candidate must also possess excellent interpersonal, verbal and written communication, and organizational skills. Knowledge of standard office software is essential, including proficiency with word-processing, spreadsheet and database software (e.g., Microsoft Office, preferred). Ability to multi-task and/or coordinate multiple assignments is required. Ability to interpret and implement policies and procedures, and effectively communicate detailed information to a diverse population, both verbally and in writing; excellent problem-solving skills is required.


Preferred Qualifications


Knowledge of computer-based office programs. Excellent telephone and customer service skills.

NYU Langone Health provides a salary range to comply with the New York City Law on Salary Transparency in Job Advertisements. The salary range for the role is $58,500.00 - $86,554.56 Annually. Actual salaries depend on a variety of factors, including experience, specialty, education, and hospital need. The salary range or contractual rate listed does not include bonuses/incentive, differential pay or other forms of compensation or benefits.
