The Administrative Billing Coordinator provides administrative and financial management support to the Chief Information Officer and department Directors. Responsibility for budget creation with the CIO, analysis, tracking and projections. The incumbent will be responsible for IT Accounts Payable process including invoice receipt, spend tracking and verification, GL coding and payment submissions. The Administrative Billing Coordinator will be the point person for all inquiries external and internal including vendor interactions, accounting queries and preparation of related analysis for CIO or Accounting.
The Administrative Billing Coordinator will lead special projects within Information Technology function and/or in partnership with the Finance department. Reports directly to the Chief Information Officer. Interacts regularly with attorneys and administrative staff in the New York office as well as in other offices.
Duties & Responsibilities:
- Oversee the execution of ad-hoc projects and initiatives for the department.
- Provide general administrative support to the CIO with day to day business activities including coordinating & organizing meetings, managing domestic & international travel arrangements, and preparing expense reports.
- Track invoices, record them in the department’s customized tracking system, research and describe any variances, and submit the invoices for payment.
- Answer queries from the Finance department on a regular basis.
- Prepare and process memoranda and correspondence; assist the Chief Information Officer with creating presentations and researching information.
- Work with the CIO and IT Leadership to create and track annual budgets.
- Attend quarterly budget reconciliation meetings with IT Leaders and the Finance budget team.
- Communicate directly with vendors, including leasing companies where billing discrepancies arise.
Qualifications:
Education: Bachelor degree preferred
Experience: 5+ years related administrative experience including bookkeeping and/or financial support.
Skills and Abilities: Excellent written and communication skills. Super user Excel skills including pivot tables and advanced use of formulas and formatting. PowerPoint expertise. Excellent written and verbal communication skills. Ability to present to committees and working groups. Ability to handle and prioritize multiple assignments. Ability to work under pressure with interruptions and tight deadlines. Ability to use independent judgment, problem solve, take initiative and follow through. Must be very detail oriented, possess strong organizational skills and a high degree of accuracy. Ability to conduct budget inquiries in Finance and database systems, and use vendor portals for access to bills and other materials.
