The state supported living centers serve people with intellectual and developmental disabilities who are medically fragile or who have behavioral problems. Administrative Asst I/Clinic Clerk
The Clinic Clerk is appointed by and responsible to the Administrative Assistant for Medical Services. The Clinic Clerk is responsible for assisting with the organization of on campus medical clinics and providing clerical support to the medical providers.
Essential Job Functions
Attends work on a regular basis and may be required to work a specific shift schedule or, at times, even a rotating schedule, extended shift and/or overtime in accordance with agency leave policy and performs other duties assigned.
  • Entering information into RADS for injury reports.
  • Picking up doctor’s incoming mail / checking Infirmary box.
  • APS
  • Scanning of all documents that process through the clinic and renaming all documents once scanned. Turn in originals to client records.
  • Faxing orders to the appropriate location.
  • Typing, formatting and saving all APS’s in the appropriate drives and distributing copies. This is one of the most time consuming, 30 minutes
  • Assuring all follow ups are done as ordered by Provider.
  • Filing progress notes / orders on charts.
  • Ordering of supplies / turning in work orders.
  • Filling out new patient paperwork for specialty offices.
  • Preparing / faxing medical packets to community PCP for community transfers.
  • Chronic care
  • Diet orders
  • Charts pick up and return – pick up can be several times per day.
  • Moses (new duty)
  • X-ray’s
  • Tracking of:
  • Retrieving med profiles thru IRIS as needed.
  • Assisting in assuring Sedation and NPO orders are written and consents obtained / all disciplines have signed and are turned in.
  • Filling out x-ray, consults, labs and diet request for any orders written daily in the clinic. Including data forms for CT, MRI, Dental, Mammograms.
  • In future (colonoscopies/Pap’s) (new duty)
  • Retrieving results from Caregate as needed.
  • Delivering forms to the appropriate location such as labs, consults, x-rays etc.
  • Answer phone – constant.
  • Filing copies of all documents in the clinic files.
  • All consults
  • Completing all routine lab slips, x-ray, and EKG forms monthly. This is done monthly but still takes up to 2 hours.
  • Searching and obtaining of information not located in charts.
  • Completing dental history forms for sedation.
  • Labs
Assist in all areas needed in IRIS
Other duties as assigned include but are not limited to actively participating and/or serving in a supporting role to meet the agency’s obligations for disaster response and/or recovery or Continuity of Operations (COOP) activation. Such participation may require an alternate shift pattern assignment and/or location.
Knowledge Skills Abilities
Documented experience in clerical/administrative support work.
Experience in the use of personal computers including Word, Excel, IRIS and Outlook.
Knowledge of medical coding, terms and practices
Experience in obtaining vital signs.
Experience with IRIS
Ability to communicate effectively
Ability to multi-task
Registration Or Licensure Requirements
None
Initial Selection Criteria
6 month working with individuals with disabilities.
1 year documented experience in medical office or related job duties.
High School diploma or equivalent.
6 months’ experience in Electronic Health Records (IRIS)
Additional Information
Salary Note: The salary offered will follow HHS starting salary guidelines which are typically made at or near the minimum of the salary range.
Applicants must pass a fingerprint criminal background check, pre-employment drug screen, and registry checks including the Client Abuse/Neglect Reporting System (CANRS), Nurse Aide, Medication Aide and Employee Misconduct and HHS OIG List of Excluded Individuals/Entities. Males between the ages of 18 – 25 must be registered with the Selective Service.
All State Supported Living Center employees are subject to Random drug testing.
Flexibility in work hours may be required for this position. The position may be required to work overtime and/or extended hours. Must be willing to work weekends and holidays.
