Code Bio is a genetic medicine company pioneering the development of a new class of precision therapies to treat life-threatening genetic diseases. Code Bio’s proprietary, novel, multivalent, non-viral, synthetic, DNA delivery platform ‒ known as 3DNA® ‒ is unlike viral and other nonviral delivery approaches. The 3DNA platform offers more precise cell targeting, the ability to redose, a scalable, modular manufacturing process, and the ability to deliver large genetic payloads. We are advancing an internal pipeline of candidates, while establishing partnerships to develop therapies to treat currently untreatable diseases.

Executive Administrative Assistant to the CEO

The Executive Administrative Assistant provides a broad range of administrative support to the CEO. This position requires a highly proactive and detail-oriented individual with experience in handling details of a highly confidential and critical nature. The ideal candidate will have previous experience working in a growing biotech supporting the CEO or senior leaders.

What we need:

  • The Executive Assistant to the CEO is a direct reflection of the CEO and the company. Therefore, it is critical that the candidate always operates with the highest level of professionalism, and that the candidate builds and maintains credibility, trust, and support with both internal and external stakeholders.

· Administrative support for the CEO requires proactive anticipation of needs to help shape thoughtful actions. A keen attention to detail, acting with a sense of urgency, maintaining confidentially, and the ability to quickly adapt to changing needs and circumstances are keys to success.

· Planning, coordinating, and ensuring proactive management of calendar, travel, and expense reporting is required. The person in this role may also be asked to provide back-up support for other members of the C-suite.

  • Screening and appropriately triaging / redirecting general inquiries from internal and external stakeholders in a manner that reflects an ability to discern between critical and less urgent matters.

· Support the CEO and COO in Board and Committee preparation, including but not limited to planning, scheduling and successfully executing Board meetings and logistics, ensuring timely execution of Board deliverables, and proof-reading materials to ensure high quality materials.

· Support the CEO’s direct and indirect interactions and deliverables to the Board of Directors. This includes dissemination of Board materials, regular and ad-hoc Board meeting planning, and travel planning for Board members as needed.

  • Create/edit/format presentation slide decks using Microsoft PowerPoint.
  • Establish and maintain strong working relationships with key internal and external stakeholders and their administrative support.
  • Partner with the COO and Operations team to support corporate initiatives, as needed.

· Other projects as assigned.

What you offer:

· Bachelor’s degree or equivalent and 10 years of directly related experience required. Significant responsibility working in a dynamic, demanding, and fast-paced environment. Previous experience supporting the CEO or C-level executive is highly desirable.

  • Excellent problem-solving skills and resourcefulness; ability to follow-through and close loops; ability to anticipate issues, trouble-shoot and proactively plan accordingly
  • Exceptionally organized with keen attention to detail and the ability to shift focus and priorities, when necessary, under pressure, and within deadlines
  • Excellent people skills with a proven record of building and maintaining successful relationships
  • High degree of professionalism, strong work ethic and sense of responsibility. Ability to maintain confidentiality of highly sensitive information, interactions, and situations.

· Ability to proactively schedule, prioritize, meet deadlines, work independently with minimal supervision and/or work with a large team in a fast paced and evolving environment

· Ability to take initiative and demonstrate the ability to manage multiple high priority tasks and projects simultaneously

· Able to manage conflicting priorities and urgent demands with a flexible attitude

  • Outstanding verbal and written communication skills; strong ability to inform and engage through written communications

· Excellent interpersonal and communication skills; energetic, enthusiastic, and interested in learning within a fast-paced, fast-growth organization

· Demonstrated collaboration skills, a real team player

· Responsive, can-do attitude

· Ability to partner positively with a team of professional Executive Assistants for office coverage and calendar planning

· Proficient in Sharepoint/Microsoft Office 365 (Outlook, Word, Excel, PowerPoint, Teams), and other collaboration tools; experienced working in Apple / Mac based computing environment

· Experience in the biotechnology/pharmaceutical industry strongly preferred
