Responsibilities
Are you a detail-oriented, multitasking superstar? We are seeking an enthusiastic Administrative Assistant to support the Division of Cardiovascular and Thoracic Surgery. In this role, you will play a vital part in maintaining the efficiency of our organizational operations. Once fully onboarded, you will have the option to work both virtually and in-person, providing flexibility and work-life balance.
Qualifications
High school education or equivalent.
Two years of administrative support experience with increasing variety and complexity.
Key Responsibilities
Clinical Support:
Ensure accurate and complete scheduling by processing schedule change forms promptly.
Monitor and maintain provider schedules, identifying and resolving any errors or gaps.
Coordinate rescheduling of patients when providers make permanent changes to their templates.
Assist in managing urgent clinic and appointment scheduling, including patient rescheduling.
Handle provider(s) Outlook calendar and coordinate meetings efficiently.
Arrange travel for meetings and handle reimbursement processes.
Provide telephone coverage, promptly assisting or directing callers as needed.
Update patients on any clinic changes via phone.
Manage incoming referrals and ensure all necessary information is received and entered into the system.
Coordinate with referring offices and outside facilities for medical records and tests.
Prepare and process letters, clinic notes, and other patient-related information.
Handle ad hoc assignments related to the scope of your work.
Administrative Support
Manage provider(s) Outlook calendar and coordinate meetings effectively.
Arrange travel for meetings and handle reimbursement processes.
Schedule and coordinate arrangements for seminars and conferences.
Prepare reports, proposals, and correspondence for surgeons.
Update various documents and licenses annually.
Provide telephone coverage, answering calls and routing inquiries.
Coordinate with referring offices and outside facilities for medical records and tests.
Handle ad hoc assignments related to the scope of your work.
Desired Skills And Qualities
Excellent verbal and written communication skills, maintaining a professional demeanor.
Prior experience in a medical office, particularly a surgical practice.
Familiarity with Epic/MaestroCare Electronic Health Record (EHR) system.
