Union Pacific is looking for an Administrative Assistant to join our Public Affairs and Corporate Relations team in Omaha, Nebraska. This position is responsible for providing professional administrative support to the Vice President Public Affairs and the Corporate Relations teams.


Responsibilities include managing department budgets, political campaign compliance, special event and project management, organized operation of the office, handling of sensitive or confidential information and assisting with recruiting, onboarding and personnel management processes.

Accountabilities


  • Compliance reporting for political campaign donations and gifts: Responsible for managing compliance approval, tracking and reporting of political contributions, gifts and lobbying activity with governmental agencies and outside compliance consultant.
  • Project management and coordination of special events: Plan, coordinate and manage high level special projects, events and train trips with senior leadership and elected officials, sponsored community events, conferences and staff meetings.
  • Department Continuous Improvement: Multi-disciplinary team effort to identify, manage and prevent escalation of issues and to improve upon external interactions with company.
  • Manage community line: Receive, research and respond to daily inquiries and concerns received from citizens and community leaders.
  • Manage department budgets: Prepare annual budget, process invoices for payment, track expenditures and reconcile monthly budget, prepare and audit expense reports and help manage Foundation grant process and distribution.
  • Provide daily administrative support to the Vice President Public Affairs and Corporate Relations: Manage daily calendar, arrange travel reservations and schedules, prepare confidential correspondence and data, and develop project reports.
