Job Description
AVIAN's Panama City Beach team is seeking an awesome Administrative Assistant to support our Unmanned Maritime Systems (UMS) Group .The ideal candidate is a high-energy individual with excellent organizational skills, a strong attention to detail and the ability to communicate effectively in both written and verbal communications.

  • Liaise with visitors - Act as point person for office guests.
  • Coordinate scheduling - Set up meetings based on cross-functional availability for both internal and external stakeholders.
  • Communicate policies and procedures - Alert employees of new processes, rules and regulations.
  • Organize internal resources - Build out and maintain processes to keep files and office supplies organized and easily accessible.
  • Field inbound communications - Answer phone calls/general email inquiries and route to the appropriate internal parties as needed.
  • Facilitate executive-level operations - Book travel, submit expense reports and send communications for high-level staff as needed.


In addition to administrative duties (filing, taking phone calls, scheduling appointments, making travel arrangements), this position will provide administrative support to executive staff with office management responsibilities to include budgeting, personnel records and payroll. The Administrative Assistant may be required to work independently on projects requiring research and preparation of briefing charts and other presentation materials.


Requirements


  • Four years experience as an administrative assistant, secretary or receptionist supporting administrative tasks listed above are desired
  • High school diploma
  • This position requires an active Department of Defense Secret security clearance
  • Resourcefulness, creativity, and problem-solving skill set
  • Positive, high-energy attitude
  • Proven ability to work in a fast-paced environment
  • Familiarity with office equipment (i.e. printers, fax machines, projectors)
  • Strong organizational, communication, and time-management skills
  • Proficiency in Microsoft Office (especially MS Excel and PowerPoint)
