Position Summary/Purpose of Position:
Under the supervision of the Assistant Director of HR, the Administrative Assistant provides administrative support to the Earth Systems Science Interdisciplinary Center (ESSIC).

Office assistants will perform administrative and routine clerical tasks. Their responsibilities may include:

1. Monitor the front desk, Monitor the main office telephone, visitors in to the suite, Handles routine inquiries and forwards to appropriate parties, Maintains schedules for ESSIC front desk, conference rooms etc. Maintain and manage ESSIC on Boarding process, Maintain and order office key logs, Place request for building maintenance, Order name plates/Business cards Track Shipments.
2. Organizing and managing files, acting as receptionists, scheduling meetings and appointments, and supporting other staff with organizational tasks. Maintain ESSIC/HR database (Data watch card, new hires, inventory)
3. Event coordination of events (management meeting and other special events, seminar)
Set up conference room, Main POC for people using conference room, Order foods for the seminars and events and assist Caterer as needed with directions
4. Up keep of the kitchens (Clean daily, replenish supplies and empty Refrigerator weekly)
Responsible for cleanliness and up keep of the office space
Lobby area/water plants, Mail/Copy room (sort/distribute main. Replenish copier/printer paper)
Scheduling office moves, Assist IT.

Other duties assigned.

Minimum Qualifications:
Education:
High School Diploma or GED

Experience:
Two (2) years experience providing administrative support.
Required Knowledge, Skills, and Abilities:
  • General knowledge of and skill in the practical application of generally accepted office practices and procedures.
  • Skill in various computer software packages, such as word processing, spreadsheets, database, and presentation programs, Internet, email and calendaring software.
  • Ability to proofread and edit written documents.
  • Ability to interact effectively with internal and external parties in a courteous and efficient manner.
  • Ability to communicate effective both orally and in writing.
  • Ability to understand and follow oral and written instructions.
  • Ability to plan, organize, prioritize, and execute multiple and continuing assignments with general instructions.


OTHER:
Except for qualifications established by law, additional related experience and formal education in which one has gained the knowledge, skills, and abilities required for full performance of the work of the job class may be substituted for the education or experience requirement on a year-for-year basis with 30 college credits being equivalent to one year of experience.
