The Saint Alphonsus Health Alliance is seeking a full-time Administrative Assistant to support director level leaders and above and will have hybrid capability.
An ideal candidate possesses an advanced ability to operate Microsoft 365 applications, problem solve, format and proof red-lined legal documents, and conduct mail-merging. An ideal candidate would also have experience in contracting, a legal office, or accounting. Responsibilities include a variety of administrative tasks - including document/file management, maintaining assigned calendars, and coordinating meetings and associated agendas.
SKILLS, KNOWLEDGE, EDUCATION AND EXPERIENCE:
- Three years of relevant experience preferably supporting manager or director level leaders.
- High school diploma or equivalent required.
- Experience with process improvement or lean philosophy preferred.
ESSENTIAL FUNCTIONS:
- Assists with special projects and interdepartmental needs when appropriate.
- Meets Health System's Guiding Behaviors and Caring Standards including interpersonal communication and professional conduct expectations.
- Prepares and/or supervises the preparation of correspondence, forms, reports and other written communications as required.
- Demonstrates compliance with hospital safety policies and procedures.
- Schedules/coordinates meetings, conferences, special events, appointments and travel arrangements. Maintains assigned calendar(s).
- May be required to take minutes of meetings.
- Receives and screens visitors and telephone calls. Uses independent judgment to determine priority and sensitivity of inquiries and responses.
- Originates, prepares, processes and edits personnel, financial or operational reports and documents.
