Administrative Assistant - MCFR


TerraPower is seeking a highly talented and motivated candidate for the position of Administrative Assistant - MCFR.This position will report to the Director of Real Estate and Facilities.The positions main duties are to provide support to both the Senior Vice President of MCFR and of the MCFR Team Leaders.The position will be a part of the Facilities and Administrative Team.


The Administrative Assistant will provide direct administrative support by managing complex calendars, preparing agendas, presentations, documents, spreadsheets, logs/databases, tracking action items; making travel arrangements; completing expense reports; developing options/solutions to often challenging tasks, and providing recommendations.


Responsibilities


  • Coordinates and manages executives’ schedules by planning and scheduling meetings, conferences, teleconferences, prioritizing functions and appointments, ensuring that meetings, deadlines, presentations, and logistics are handled seamlessly.
  • Coordinate with the Meeting and Events Coordinator to facilitate planning for and execution of required technology, hospitality, and space/logistics for meetings.
  • Update and maintain team distribution lists.
  • Develop agendas, track/capture action items for pre-planning meetings and post meeting action(s).
  • Conserve the executives’ time by reading, researching, and routing correspondence, drafting letters and documents, collecting and analyzing information, and initiating communications.
  • Support large meetings, including attending as note taker when requested.
  • Plan and prepare executives for TerraPower internal and external meetings by developing or researching background on meeting participants, gathering information relevant to the subject matter to ensure proper preparation.
  • Coordinate and book all travel for executives, as well as completing expense reports.
  • Create agenda, itineraries, and all matters related to international and local destination logistics.
  • On a daily basis, enhance the work of assigned executives through general assistance and organizational support to include day-to-day interaction and facilitation of internal and external request and various aspects of interdepartmental communication.
  • Uses filing and retrieval systems for access when needed; and creating written notes or taking minutes at meetings to ensure proper record keeping.
  • Serves as the liaison between internal and external stakeholders by facilitating communications, planning events, distributing information, drafts agendas and scheduling meetings.


Communication and Relationships


  • Be an active part of the administrative team by attending weekly administrative meeting to understand all aspects of TerraPower.
  • Provide as-needed support to TerraPower’s Director of Real Estate and Facilities.
  • Manage confidential communications.
  • Provide as-needed support to MCFR team leaders.
  • Foster development of good relationships with key stakeholder and vendors.


Key Qualifications And Skills


  • Must project a positive, collaborative, professional demeanor at all times.
  • Must have proficient skills using the full MS Office Suite.
  • Must be comfortable operating in a fast-paced environment.
  • Must have 5 years of experience directly supporting and working with C-suite level executives.
  • Adaptable, with a high degree of confidence and trust.
  • Team player who can assess when to act autonomously and when to coordinate with others or seek leadership input.
  • Exceptional organization and time management skills – able to work independently, to prioritize multiple tasks to meet changing deadlines and requests, while strategically thinking ahead.
  • Must have excellent written communications and interpersonal skills and the ability to interact positively with all levels within the organization including senior executives, trustees, donors, and peers.
  • Must be flexible in the face of changing priorities.
  • Must have the ability to solve problems and meet deadlines with a great level of flexibility.
  • Must understand the sensitive nature of working in the executive office and have good judgement, problem solving skills and maintain the highest levels of confidentiality and integrity.
  • Must be comfortable with reporting and tracking deliverables to manager on a regular and consistent basis.
  • Must have the ability to foresee future needs and act proactively.
  • Proficient use of SharePoint and Confluence.
  • The successful candidate will possess a high degree of trust and integrity, communicate openly, and display respect and a desire to foster teamwork.

Salary Range Level 7: $68,359 - $102,538


  • Typically, our employee salaries are within .90 – 1.0 of the mid-point of the posted salary bands.Any salary offered within the posted salary band is based on market data and commensurate with the selected candidate’s qualifications and experience.This range is specific to Washington State.
