Job Description
Marbles Kids Museum is a vibrant, nonprofit children’s museum and IMAX Theatre located in the heart of downtown Raleigh. The Opportunity


The Accounting Coordinator handles all the accounts payable functions, manages the corporate credit cards, and assists the Accounting Manager with month-end entries and reconciliations.


Job Responsibilities


  • Monitor the outflow of capital for the company by ensuring all accounts payable functions are completed.
  • Assists with monthly revenue recognition journal entries.
  • Facilitates payment of facility rental vendors, which may include verification of federal ID numbers, reviewing purchase orders, and resolving discrepancies.
  • Pickup and distribute mail when the Accounts Payable Coordinator is out of the office.
  • Maintain up-to-date accounts payable and corporate credit card policies & procedures.
  • Match receipts to monthly company credit card and Amazon statements, code transactions and enter into ActivityHD.
  • Participate in monthly financial review meetings.
  • Perform all other duties assigned by the manager.
  • Ensure proper filing of documents.
  • Provides outside auditors with assistance; gathers necessary account information and documents to perform annual audit.
  • Manage the corporate credit cards – add and delete approved users as needed, update credit limits, train card users on uploading and coding receipts.
  • Process incoming invoices for payment: obtain approvals, match to purchase orders and shipping documents, and code and enter in the general ledger.
  • Create invoices for Facility Rentals and apply payments.
  • Assist the Accounting Manager and Senior Leadership Team members with accounting and finance-related projects as assigned.
  • Enter monthly expense reclasses and accruals.
  • Facilitate the weekly check run - process checks to be paid including having them signed, mailed, and filed.
  • Help prepare and distribute internal financial reports and analysis.
  • Processing purchase orders including confirming the accounting codes are correct, verifying proper signatures or e-mail approvals have been obtained, entering the purchase order into ActivityHD, scanning backup documents to ActivityHD, and giving the purchase order number generated by the accounting system back to the originator.


Experience And Skill Requirements


  • Ability to perform repetitive tasks quickly and accurately.
  • Ability to enter data accurately & quickly is essential.
  • Detail-oriented.
  • Proficient with Excel.
  • Self-motivated with the ability to work independently and as part of a team.
  • Basic understanding of accrual accounting and how to reconcile general ledger accounts to subsystems.
  • Knowledge of accrual accounting and revenue recognition rules per GAAP.
  • Two to four years of accounting experience required.
  • Experience with accounts payable.
  • Bachelor’s degree in Accounting, Finance, or related discipline required.


Physical Demands


  • Prolonged periods of sitting at a desk and working on a computer.
  • Must be able to lift 15 pounds at times.
  • Role requires walking, standing, stooping, bending.


Schedule Availability


  • The Accounting Coordinator position is full-time with benefits. Flexibility is required of all team member to work occasional evenings or weekends for special events and peak season support.
