Job Description
Position Information


The Accounting Clerk has varied tasks in the accounting office. These tasks could include verifying costs, including the costs of reconditioning and equipment add-ons, for the accounting department, working car deals, processing in-state and out-of-state titling verifying and processing all vendor invoices for payment, receiving payments, reconciling accounts and schedules, and collects on past due accounts. Details of duties are described below.


General Duties And Responsibilities


  • Bank and DMV runs when needed.
  • File documents as needed.
  • Pull manufacturer-new vehicle invoices and enter into DMS and accounting.
  • Represent the dealership positively and professionally with appropriate dress, actions, and speech.
  • Any other task assigned by the manager.
  • Backup on switchboard for vacations, lunches, and breaks when needed.
  • Complete dealer trade paperwork and follow up on checks and MSOs.
  • Be constantly aware of CSI.
  • Keep the area neat and orderly.


Titling Duties And Responsibilities
  • Check for FULL and clear payment of the vehicle.
  • Process all paperwork promptly to avoid customer satisfaction issues, expired permits, extensions, and extra fees.
  • Take a copy of the contract of sale and odometer statement and have it notarized when necessary.
  • Check for out-of-state affidavits with customer signature and complete blank boxes as necessary.
  • Verify VIN, signatures, previous registration, and title or MSO.
  • Clear permits through the MVED before penalties occur.
  • Follow up with lienholders on titles due from payoffs. Obtain duplicates as quickly as possible.
  • Using Carfax about 30 days after the paperwork was sent, verify registration has been completed. Follow up with customer and DMV if needed.
  • Record sales on the Monthly Report of Sale.
  • Review plating receipts from DMV. Monitor penalties and research as needed.
  • Check for lienholder.
  • Prepare walks and packets for DMV.
  • Send title paperwork in a trackable way to the customer's county clerk or local DMV.
  • Fill out the title or MSO, ensuring the lienholder is noted as applicable.
  • Follow procedures to keep sales informed on title status for wholesales.
  • Prepare all out-of-state licensing.
  • Keep the title status spreadsheet updated daily.
  • Be aware of issues with titles to avoid expiring permits and extensions.
  • Make the Office Manager aware of any problems before the permit expires, and get approval before issuing permit extensions.
  • Check emissions on all used vehicles. Notify the customer immediately if it needs to be completed.
  • Send an instruction letter to the customer.
  • Give a deal to the controller to sign off on the sales tax affidavit.
  • Prepare all license and title paperwork for processing at the DMV.


Accounts Payable Duties And Responsibilities


  • Post all vendor payables as received, with all completed by EOD on the 2nd working day of the month.


Account Maintenance


Be responsible for monitoring the following accounts every month to maintain clean and accurate financial reporting:


  • 2021 - Vehicle Property Taxes
  • 2015 - Dealer Trade Clearing
  • 2020 - License and Title Fees


Qualifications


  • Ability to use a calculator
  • One year of general office experience
  • Ability to read and comprehend instructions and information
  • Detail-oriented, self-motivated
  • Automotive accounting experience preferred


Working Conditions


This is a sedentary position. Most work is performed at a desk in an office setting. Will be trained on the dealership computer system(s).
