Job Description
We are in the process of staffing a Virtual Administrative & Technical Support Specialist where a client needs someone to handle the following responsibilities. As an Administrative and Technical Support Specialist, you will play a key role in monitoring the general inbox, responding to members, answering questions, and managing collaboration requests. You will also be responsible for writing and scheduling emails, creating graphics and content, scheduling membership events, and managing tasks in the project management tool. Additionally, you will provide technical support by resolving membership issues, assisting with payment refunds, and supporting the team during launches and large projects. The ideal candidate is a reliable teammate who can balance independent work with real-time collaboration and is skilled in navigating competing priorities in a dynamic work environment.
Key Responsibilities
Administrative Support:
  • Write and schedule emails for membership, newsletters, and other communications.
  • Monitor the general inbox, respond to members, answer questions, and field collaboration requests.
  • Create graphics and content for membership using Canva.
  • Manage task creation and completion in our project management tool.
  • Collect and present membership and marketing data at team meetings using Google Sheets.
  • Schedule membership events and send reminders to participants.
Technical Support:
  • Support the team during launches and large projects using tools such as Ewebinar and LeadPages.
  • Upload and edit content on the membership site using WordPress.
  • Resolve membership tagging and access issues in our CRM.
  • Receive technical support inquiries and pass them on to the technical team in ClickUp.
  • Grant and revoke access to the private Instagram account.
  • Assist members with payment refunds in Stripe.
Requirements
  • Location: Remote (Eastern, Central, Mountain, or Pacific Time Zone)
  • Be able to clearly express thoughts to others in a variety of mediums (writing, email, video conference, etc.) and transcribe verbal information into written form.
  • Hours: 10-15 hours per week (with availability to increase as needed)
  • Be able to balance remote, independent work with real-time collaboration on priority projects with teammates.
  • Be familiar with cloud-based applications and terminology (tagging, etc.).
  • Be a reliable teammate who does what they say they're going to do and gets stuff done.
  • Be capable of navigating competing priorities in a dynamic work environment and know when to request support and clarification.
  • Appreciate systems-based thinking and process-driven execution - we're focused on working smarter, not harder.
