Job Description
We are looking for a friendly and enthusiastic individual to join our team in a small call center environment. As a valued member of our team, you will play a crucial role in providing exceptional customer service and support to our patients and medical staff. Responsibilities
Answer incoming phone calls using a multi-line phone system and create a welcoming and helpful first impression.
Determine the appropriate call management based on triage guidelines, caller needs, and patient status, utilizing our Electronic Medical Record (EMR) system.
Handle emergency calls with urgency and accuracy, ensuring they are promptly routed to the appropriate personnel.
Communicate effectively with our answering service, managing the transition between our practice and the service seamlessly. Direct messages to the relevant staff and handle administrative tasks efficiently.
Log real-time information during conversations with callers, maintaining accurate records using our dashboard pathways form.
Transfer calls according to established guidelines, utilizing electronic staff schedules to ensure calls are directed to the appropriate team members.
Page individuals and relay important telephone messages, utilizing paging systems or interoffice communication equipment.
Strictly adhere to all HIPAA guidelines and regulations to maintain patient confidentiality.
Assist with Medical Records duties during downtime, contributing to the overall efficiency of our practice.
Communicate any technical issues to your supervisor promptly to minimize any impact on patient care.
Enjoy a Monday-Friday work week with no nights or weekends, providing you with a healthy work-life balance.
Occasional travel to our Scarborough location may be required, but it is infrequent, and all necessary training will be provided.
Qualifications
High School Diploma or GED.
Knowledge of Medical Terminology is required, demonstrating your understanding of healthcare terminology.
Previous experience in a medical practice as a Medical Assistant or Medical Secretary is preferred, showcasing your familiarity with medical office operations.
Experience with switchboard operations is advantageous, but not mandatory.
Excellent customer service skills, with the ability to build and maintain positive relationships with patients, medical staff, and the public.
Clear and concise communication skills, enabling you to effectively answer phone calls and provide assistance.
Proficiency in operating a multi-line phone system, copy machine, and fax machine.
Demonstrated ability and experience using office software systems such as MS Office, electronic mail, and EMR systems.
Strong organizational skills and the ability to coordinate multiple activities simultaneously.
Adaptability to thrive in a dynamic and fast-paced environment with frequent changes.
Effective communication skills when interacting with both internal and external customers.
The ability to work independently as well as in a collaborative team environment.
