Supervisor, Assisted Housing


Summary


Provide clerical and reproduction support to staff by filing, scanning, copying, making telephone calls, mailing documents, and other routine tasks, as needed. May reproduce and bind reports and other documents, maintain inventory of office supplies, receive incoming mail from post office and sign for certified mail. Communicate with tenants, landlords, and counselors regarding inspections, applications, appointments, etc. and provide appropriate information. Schedule appointments, obtain files, and return files in accordance with established procedures. Enter data in accordance with established procedures, and generate appropriate letters. Correctly file documents in the proper location and mail documents. Collect verifications for annual, interim, or new processes. Organize files in proper order which may include purging. Create and maintain reports.


Essential Job Functions


  • File loose documents in appropriate files, in accordance with established procedures uniformly
  • Mail verifications, packets, contracts, and other documents in a timely manner
  • Enter data into computer system in accordance with established procedures
  • Tracks status of information and provides periodic reports as needed
  • Performance of Daily duties/tasks/and reports
  • Properly addresses assigned tasks in accordance with established procedures
  • Meets all designated deadlines
  • Review submitted documents and timely request additional information
  • Check on-line systems for miscellaneous verifications and document those findings as


outlined in the procedures manual and administrative plan


  • Provides Customer Service and data entry duties
  • Answer telephone calls and provide appropriate information to tenants, landlords, staff and the general public in a professional manner
  • Return calls, relay message to staff, schedule/maintain appointments and/or take other


appropriate action


  • Enter data into computer system in accordance with established policies and procedures
  • Address customer service needs, including meeting customers to appropriately resolve
  • Scan or obtain files for staff and return files as appropriate


questions or concerns within the scope of assigned duties


  • Assist other departmental personnel as needed


Knowledge, Skills, And Abilities


  • Ability to use telephone system equipment effectively and efficiently
  • Ability to use computer effectively and efficiently
  • Ability to file documents alphabetically and numerically
  • Ability to use standard office equipment such as copier, fax, etc.
  • Ability to understand oral and written instructions and act on them
  • Knowledge of THA and departmental rules, regulations
  • Knowledge of communications principles
  • Must have the ability to see, speak, hear, and perceive color.
  • Knowledge of modern office practices, procedures and equipment
  • Knowledge of business English, spelling, grammar, punctuation,
  • Ability to deal with others courteously, tactfully and effectively
  • Ability to communicate effectively orally and in writing


Minimum Qualifications


High school graduation or G.E.D. certificate plus one year of experience in customer service and clerical support or other activities involving public contact.


Other: Valid Driver’s License
