POSITION SUMMARY

STEP and the GSE seek a full-time Student Services Officer and Credential Analyst (SSO) for the Stanford Teacher Education Program (STEP). The SSO will advise teacher candidates on program, financial aid and degree progress, provide statistical data and reports for internal and external use, and participate in recruitment activities and admissions processes for STEP and GSE. The SSO will also be responsible for the advisement and implementation of STEP’s practices and policies in compliance with California and federal credentialing and other regulatory agencies as well as STEP requirements. The SSO will further be responsible for making recommendations and resolving decisions on issues regarding admission, financial aid, housing, registrar services, visa services, student life, advising, and academic services using defined policies and practices and professional knowledge. Position works closely with the entire STEP leadership team, as well as the GSE Academic Affairs team, and reports directly to STEP’s Director of Clinical Work.


Your primary responsibilities will include:

  • Financial Aid: Advise prospective and current teacher candidates regarding eligibility for and availability of financial aid and strategies for meeting their financial needs. Work with the Financial Aid Office and Academic Affairs team to ensure smooth processing of financial aid packages to prospective and current teacher candidates. Coordinate allocation of fellowships to incoming students, process fellowships in GFS, prepare student award letters and reconcile STEP fellowship budget.
  • Degree Progress and Student Advising: Interpret and implement graduate program policies and advise STEP teacher candidates on University, School and Program academic requirements, policies and deadlines. Monitor student status and ensure that all academic requirements are satisfied in compliance with established timelines. Resolve academic discrepancies. Maintain student records, prepare documents and advising materials for student use.
  • Academic Services Administration: Collaborate with the GSE Academic Affairs team with major GSE student events that involve STEP teacher candidates and/or prospective STEP students, and other projects as assigned.
  • Credentialing: Advise prospective, current and former students on all California multiple and single subject credential requirements and prepare related reports for program staff and leadership. Keep current and align practices with up-to-date federal, state, and institutional policies and regulations regarding teacher credentialing and student progress. Assist with accreditation program reviews for state and other agencies; gather and share information on credentialing and accreditation for use by Program Directors in program planning and curriculum development. Work with faculty and administrators to assure compliance with credentialing and other regulatory and program requirements. Cross-train additional staff to process credential applications and serve as backup.
  • Program support: Work collaboratively with colleagues on a range of supportive projects to support the development and smooth operation of the program (eg admissions and recruiting, special events, alumni engagement).
  • Admissions and Outreach: Coordinate with STEP Directors and staff and GSE Academic Affairs team on recruitment and admissions process for STEP. Revise application material; prepare and distribute marketing materials; coordinate recruiting events. Communicate with applicants and prospective students. Manage all STEP communications to and events for applicants and entering teacher candidates. Collaborate with GSE staff on all materials and website for prospective and incoming students and on Admissions events.

To be successful in this position, you will bring:

  • Advanced analysis and problem solving skills.
  • Ability to ensure and apply compliance with legal, financial, and university policies and external regulations.
  • Understanding of financial transactions.
  • Strong communication skills to clearly and effectively communicate information to internal and external audiences, client groups, and management.
  • Bachelor’s degree and three years of relevant experience, or combination of education and relevant experience.
  • Advanced computer skills, including experience with Microsoft Office Suite.

In addition, preferred requirements include:

  • Collaborate with others to help resolve program issues and concerns, interpret policies, and mediate complex and sensitive issues.
  • Oversee, review and administer student records by analyzing data, counseling students and providing recommendations that require interpretation and influence decisions. Make exceptions on issues of eligibility, course enrollment and program requirements.
  • Ability to work with and honor diversity in all its forms.
  • Resolve multi-dimensional matters in response to students in crisis, at risk, or who have other program issues, counsel students and parents on sensitive and confidential issues.
  • Ability to interact effectively and tactfully with students and members of the academic community.
  • Provide guidance and counsel, oversee and develop a wide range of programs and services, analyze effectiveness and make recommendations for future programs.
  • Summarize data from multiple sources, prepare manage reports and presentations.
  • Administer an area or program in student services, evaluate and recommend decisions on program eligibility. Review decisions recommended by other staff.
  • Four-year college degree required, preferably in counseling, higher education administration, teaching or teacher education; advanced degree and/or teaching experience desirable; Knowledge of California state and Title II federal requirements for teacher credentialing preferred; Experience with admissions, recruitment and pre-matriculation advising activities preferred; The staff member will bring a commitment to collaborative teamwork and to the mission and vision of STEP.
  • Reconcile complex issues; analyze diverse transactions from multiple sources.

The expected pay range for this position is $66,000 – 95,000 per annum. Stanford University provides pay ranges representing its good faith estimate of what the university reasonably expects to pay for a position. The pay offered to a selected candidate will be determined based on factors such as (but not limited to) the scope and responsibilities of the position, the qualifications of the selected candidate, departmental budget availability, internal equity, geographic location and external market pay for comparable jobs.
