Job Summary
The Space Team will be efficient, professional and deliver white glove service to all guests at all times. Service delivery may include but not limited to warmly greeting arriving guests, providing a fond farewell, promptly and accurately executing requests, providing local information or directions, providing, maintains proficiency in the reservation tool and processes reservations, is knowledgeable of VIPS's, catering offerings and events of the day.
Key Responsibilities:
- Overlook conference reservations, cancellations, and holding requests through the EMS software.
- Update SOPs and other Space Management documents when required.
- Overlook Outlook communication with internal hosts to confirm all attendee counts and requests are satisfactory and to their needs.
- Overlook conference reservations, cancellations, no shows and holding requests through scheduling software.
- Assist in shipping and receiving duties as necessary.
- Responsible for assisting smaller groups and internal meetings
- Be knowledgeable of conference center spaces and event procedures
- Sustaining prominent professionalism to change, resolve, or improve reservation requests by the client.
- Assist with Reserve Space inquiries and troubleshooting issues
- Serve as liaison with Audio Visual service, catering services and any outside vendors on event-related matters.
- Willing to work evenings if necessary
- Assist in Breakfast and Lunch services to ensure that all catering aligns with the BEO.
- Monitor the Space and Experience shared mailbox and Teams channels
- Phone reception with hosts for any changes or conflicts with specific requests they ask to be provided.
- Other duties as assigned
- Daily walk through of enclosed spaces to confirm all guests are in their assigned rooms, respond to No Shows, and assist those who are looking for day of space
- Assist with Meet and Greet service for high profile guests and clients when needed
- Provide outstanding client service and can build relationships with internal and external clients and vendors.
- Monitor the waitlist and assign space following client policy
- Assist the M+E team with managing and coordinating executive and departmental programs to execute successful meetings and conferences.
