Job Description
Summary



This position performs administrative and customer service responsibilities in support of the marketing and sales efforts at a continuing care retirement community (CCRC). This position is often the first point of contact for a potential resident or family and provides an opportunity to create a positive outcome. Upholds the philosophy, vision, and core values of the organization and ensures the Christian Mission of Lutheran Senior Services is realized so that “Older Adults Live Life to the Fullest”.


Responsibilities


Performs complex administrative tasks to include setting up and maintaining filing systems, preparing correspondence, arranging meetings, processing mail, coordinating bulk mailings, creating and requesting reports, maintaining databases, processing forms, and special administrative projects


Handles and screens phone inquiries, makes appointments, and disseminates appropriate marketing materials


Greets prospects and provides marketing information and tours of the community as back-up to the Senior Living and Health Services Counselors


Assists prospects in selecting finish options and upgrades and enters orders into computer program


Coordinates details of resident move-ins with other departments to assure smooth transitions


Assists in facilitating hospital referrals and admissions to short stay rehabilitation and long term care beds in the care center


Maintains required inventory of collaterals, promotional items, administrative supplies, forms, and other paperwork


May perform additional responsibilities in the absence of the Senior Living and Health Services Counselors in regard to contacts with potential residents and families


Follows all safety procedures and protocol as dictated by LSS policy, federal and state regulations and standard practice and reports all hazardous conditions, defective equipment, and accidents or incidents to the supervisor immediately


Qualifications, Knowledge, Skills & Abilities

  • Associates degree or technical school training in a related field preferred.
  • Ability to communicate effectively over the phone and in person to potential residents or small groups and ability to write routine reports and correspondence.
  • 1 – 3 years experience with strong customer service, sales support or administrative experience preferred.
  • Proficient computer skills, including electronic mail, record keeping, routine database activity, MS word processing, Excel spreadsheets, etc.

While performing the duties of the job, the employee is regularly required to stand; walk; use hands to finger, handle, or feel objects, tools, or controls.


The employee occasionally is required to sit; reach with hands and arms. The employee is occasionally required to lift 25 pounds.


The employee regularly spends time sitting in front of a computer viewing and inputting data.


There are periodic times of providing walking tours of the community which on occasion may require pushing a wheelchair with a prospective resident up to 200 lbs.
