The Role:

This position will be providing clerical support to both the Fair Housing Unit and the Legal Unit Housing Discrimination Unit and Legal Division.

Job duties include, but are not limited to:

  • Import pre-written documents into document server files, with a focus on proofreading and formatting.
  • Arrange and coordinate meetings.
  • Organizes and maintains files (including confidential files).
  • Using computers, tablets, and other electronic equipment, formats and types a full range of correspondence, reports, bills, drafts, etc. from rough draft, transcription, dictated notes, etc.
  • Compiles information from standard sources and prepares data reports.

Selection Plan

These positions will be filled in accordance with contractual language, reemployment, SEBAC, transfer, promotion and merit employment rules.

PURPOSE OF JOB CLASS (NATURE OF WORK)

In a state agency this class is accountable for performing a full range of secretarial support functions.

EXAMPLES OF DUTIES

This position will be responsible for the following:

  • Additional duties can be found here.
  • Type and mail Pre-default letters and Default requests.
  • Type, mail and copy reconsideration requested letters.
  • Enter new complaints into HEMS (HUD Enforcement Management System) along with uploading all documentation into the system.
  • Set up and label files for new cases.
  • Telephone respondents and complainants in all pre-assigned cases.
  • Perform related duties as required.
  • Order office supplies for the unit.
  • Deliver files and memos to Legal and Public Hearing.
  • Assist at Education and outreach activities by preparing flyers, brochures and other educational materials.
  • Type and mail documents to Marshall for service.
  • Review respondent answers for completeness.
  • Prepare transmittal memos for cases going to Public Hearing or court.
  • Prepare and mail fact-finding and mediation notices to the parties.
  • Copy case file documents for Public Hearing Office for cases going to Public Hearing.

MINIMUM QUALIFICATIONS - GENERAL EXPERIENCE

Two (2) years of experience above the routine clerk level in office support or secretarial work.

MINIMUM QUALIFICATIONS - SUBSTITUTIONS ALLOWED

College training in the secretarial sciences may be substituted for the General Experience on the basis of fifteen (15) semester hours equalling one-half (1/2) year of experience to a maximum of one (1) year.

PREFERRED QUALIFICATIONS

  • Experience answering phones calls and responding to email inquiries.
  • Experience with discrimination matters through education, outreach activities or advocacy.
  • Experience in Microsoft Excel including, but not limited to creating spreadsheets, reports and other related records.
  • Experience using a case management system.
  • Experience providing customer service and/or performing language interpreting/translating assignments in Spanish.
  • Experience providing customer service and information to the public including those who may be dissatisfied or frustrated, in a patient, respectful and professional manner.
  • Experience drafting correspondence such as memos or legal documents.
