Job Description

Stanford Medicine is leading the biomedical revolution in precision health. We are transforming health care away from after-the-fact diagnosis to prediction and prevention and away from one-size-fits-all medicine to personalized care that empowers people to lead healthy lives. We are leveraging the art and science of medicine to predict and prevent disease before it strikes and cure it decisively if it does.


To achieve our Precision Health vision, we are integrating, building, and leveraging our strengths in fundamental research, the new field of biomedical data science, and nine transformative biomedical platforms. As a learning health system, we will apply these advances in our hospitals and health care delivery systems within Stanford Health Care and Stanford Children’s Health.


The Office of the Senior Associate Dean for Research (SADR) develops policies and practices to advance rigorous and transformational research at the School of Medicine. Serving as a resource and providing support services for researchers to advance cutting-edge ideas, SADR accelerates discovery and amplifies the impact of Stanford innovation to lead the biomedical revolution in Precision Health.


We are seeking an Administrative Manager to administer and support programs and functions for the Sr. Associate Dean of Research. This is a 100% full-time, benefits-eligible, exempt position and based near the historic Stanford Campus. This is a hybrid role and the incumbent is expected to be onsite 2 days per week.


Duties include:
  • Create, analyze, and maintain a database repository that tracks all proposed and IRB-approved clinical research studies. Work with the Office of Development to track funding needs for the high-priority projects. Work with faculty to submit and track proposals.

  • Compose, draft, edit, and proof documents and correspondence for presentations, handouts, conferences, reports, etc. Develop high-level briefings for key meetings and engagements.
  • Review study requests and submit them to the committee for review and approval.
  • Track all travel exception requests, facilitate approvals, and complete research approval and travel exception submission forms.
  • Serve as the key contact for faculty, staff, and others in the School of Medicine and across the University, coordinating these contacts and related activities for the SADR. Support long-range planning efforts including organizing long-range planning meetings, drafting and preparing meeting minutes, and helping manage the execution of the plans.
  • Coordinate the SADR's activities, including management of a complex calendar, travel arrangements, and associated logistics. Independently commit the SADR's time to those requesting access to SADR based on an in-depth understanding of the SADR's priorities and needs and her role within the SoM and university framework.
  • At the request of the SADR, independently research and analyze associated issues and/or compile materials needed for presentations and/or decision-making purposes.
  • With guidance and input from the SADR, plan and moderate the Monthly Research Office Town Halls. Assist in recruiting and hosting distinguished speakers for lecture series and oversee agenda development.
  • May direct staff related to clinical, translational, and basic research work that is not under supervisory responsibility.
  • Oversee and manage multiple projects. Follow up with appropriate parties to ensure deadlines are met. Manage high profile events including content development in consultation with the SADR.
  • Create a process to review, edit, and track requests for letters of support from the office of SADR and Dean Minor. Assure the letters are sent to the PIs by deadlines. Provide operational support for application solicitations, review of applications, and selection.

The expected pay range for this position is $66,100 to $107,000 per annum.
Stanford University provides pay ranges representing its good faith estimate of what the university reasonably expects to pay for a position. The pay offered to a selected candidate will be determined based on factors such as (but not limited to) the scope and responsibilities of the position, the qualifications of the selected candidate, departmental budget availability, internal equity, geographic location and external market pay for comparable jobs.


DESIRED QUALIFICATIONS:

  • Experience in an academic setting preferred.
  • Excellent customer service and interpersonal skills.
  • Advanced computer skills and demonstrated experience with office software and email applications.

EDUCATION & EXPERIENCE (REQUIRED):

Bachelor's degree and three years of relevant experience, or combination of education and relevant experience.
