Rocketship is hiring for the position of Registrar which will report to the Office Manager. The Registrar is the first point of contact for parents and students when they come to school, as well as a resource to the school community. The Registrar should always exhibit professionalism, treat people with respect, and be firm but compassionate in how they address the day-to-day challenges of a rigorous and purposeful school. The Registrar performs specialized and responsible clerical and technical tasks related to the registration of students and maintenance of student records and files; as well as related activities of the school site and maintains student data in an automated student information system.

Essential Functions

  • Work with current parents to solve problems and prevent student attrition
  • Report all injuries and other school incidents to Human Resources
  • Performs attendance-related functions where required to meet district, state, and federal requirements
  • Be knowledgeable of all content in school safety binder, including emergency procedures
  • Compiles a variety of information/data (e.g. transcripts, health, IEP, attendance, discipline records, grades, test scores, recognition awards, etc.) to provide appropriate information required by site, district, and/or state
  • Maintains a variety of files, documents, and student records (physical files and electronic files within PowerSchool student information System) (e.g. permanent student record, cumulative folders for all students grades, transcripts, address changes, master schedule, attendance (by assignment), discipline, etc.) to meet the division’s goal of accurate and timely student data within the student information system and student records
  • Supervise students sent to the office for discipline and health reasons
  • Assists with additional appropriate tasks as assigned by the Principal and Registrar and Student Data Coordinator to ensure an efficient and effective work environment
  • Attends staff meetings and training sessions as assigned to convey and/or receive information required to perform functions
  • Collect doctor's notes and excused absence notes from parents for absentee documentation
  • Use automated telephone system to send out school information as necessary
  • Administer basic first aid, distribute medication, maintain injury reports
  • Collect uniform sales money from parents and provide receipts for payments
  • Act as an interpreter, when necessary, in whole-school functions and smaller meetings
  • Performs enrollment and withdrawal activities within the automated PowerSchool student information System (e.g. new and rollover students, in district/ out of district transfers, etc.) to ensure compliance with financial, legal, state, or federal requirements
  • Health, Safety and Discipline: Maintain emergency medical and contact information for all students
  • Administrative: Perform general clerical duties including answering phones, taking and distributing messages, sorting mail, translate documents and prepare general correspondence
  • Processes requests for transcripts and education verification
  • The Registrar performs specialized and responsible clerical and technical tasks related to the registration of students and maintenance of student records and files; as well as related activities of the school site and maintains student data in an automated student information system
  • Provide support to the leadership team and teachers as necessary
  • Administer Independent Study process for students with planned absences
  • Performs other related duties, as assigned, to ensure the efficient and effective functioning of the work unit

Qualifications

  • Comfort in a start-up environment and ability to work independently with minimal direction
  • Knowledge and cultural competence of the local student and parent community
  • Effectively prioritize and juggle multiple concurrent projects
  • Excellent written and oral communication skills
  • Ability to use a variety of software programs and quickly learn new ones
  • Other duties as assigned
  • Highly developed interpersonal skills using tact, patience, and courtesy
  • Managerial skills preferred
  • Our Rocketship DC schools now have a COVID vaccination mandate. All new employees must have received their first shot prior to their 1st day of work. New employees are expected to receive their full vaccination series within one month of their start date. Failure to comply with this COVID mandate could result in termination of employment.

Specific vision abilities required by this position include close vision, distance vision, and the ability to adjust focus. The noise level in the work environment is moderate to high.
