Job Description

We are seeking a Records Coordinator for its Washington, DC office. The Records Coordinator is responsible for opening, building, maintaining, tracking, closing and processing files (both physical and electronic) according to established policies and procedures, and will work closely with legal secretaries and others regarding filing and records-related requests to promote and ensure compliance with the Firm's records management objectives. This position reports to the Firm’s Risk Management and Compliance Director and is located in our Washington, DC office.

The hourly range for the position of Records Coordinator at Nossaman is approximately $30.76 to $41.02 an hour. The successful candidate’s annual compensation for this position is reasonably expected to be set between $60,000 and $80,000 per year. However, actual compensation will depend on a variety of factors, including, without limitation, the candidate’s qualifications and experience.

Key Responsibilities:

  • Maintain strong working relationships with outside storage vendors and coordinate the deposit, retrieval, return, and permanent withdrawal of closed files.
  • Assist Legal Secretaries and other personnel with individual requests and projects while continuing to complete regular day-to-day functions and meeting departmental goals.
  • Ensure proper documentation of all transactions as specified by established Firm policies and procedures.
  • Work to minimize the volume of inactive and closed files on site, continue to process files for disposition including off-site storage, and return files to clients and/or process for destruction.
  • Maintain files, both physical and electronic, and assist with document-level filing, update and reorganize files, as well as update, monitor and maintain the Firm's records management system.
  • Maintain positive and productive relationships with all internal and external clients.
  • Open new files, including creating new physical files, entering information into applicable records databases, and adding new folders as necessary for ongoing matters.

Experience & Qualifications:

  • Proficient in Microsoft Office.
  • Minimum of 3-5 years of records experience in a legal or professional services firm.
  • High school diploma, or equivalent, is required.
  • Previous experience with iManage, eDocs, or another document management system.
  • Lift, handle and move boxes of up to fifty (50) pounds.
  • Ability to occasionally travel to other offices as needed.
  • Strong written and oral communication skills.
  • 1-2 years of experience working with electronic files/records.
