Position Summary


The successful Purchasing Agent is quality driven and detail oriented. This role assists the Purchasing Manager with daily project administrative tasks so that she can spend her time on operations and strategic development with an aim towards resolving current and future order issues. The Purchasing Agent compiles and sends purchase orders after the Purchasing Manager reviews and approves. This role verifies orders are received by vendors and processed. The Purchasing Agent compiles acknowledgements for Purchasing Manager's review and actively manages all administrative tasks to assist Purchasing Manager.


Measures Of Success


  • Purchase order issues are immediately identified and forwarded to the Purchasing Manager for resolution.
  • Claims are brought to the attention of the Purchasing Manager in time for each Vendor's terms & conditions with no cost to StudioSIX5.
  • Paperwork is accurate, up to date and well organized to expedite review process.
  • Purchase orders are placed in a timely manner to ensure on time delivery to the warehouse.
  • Transaction reports are accurate and up to date.


Duties/Responsibilities


  • When ready to be sent, scans PO's and emails to vendors verifying receipts.
  • Notifies Purchasing Manager of any vendor shipping delays to be addressed.
  • Updates transaction summary report daily.
  • Documents purchase orders in project transaction report.
  • Monitors warehouse receipt reports for any file claims.
  • All other duties as assigned by Purchasing Manager.
  • Compiles acknowledgements for Manager review.
  • Assists sorting of specs by vendors for Purchasing Manager's review.
  • Monitors warehouse receipt reports and updates transactions summary reports daily.


Required Knowledge/Skills/Abilities


  • Meticulous "eye" for detail and accuracy.
  • Excellent written and oral communication skills.
  • Working experience of vendor management software and project management software.
  • Desire to grow, take on new responsibilities, and establish oneself on our team.


Experience / Education


  • Customer service experience preferred.
  • Bachelor's Degree in Purchasing or Merchandising or equivalent experience desired.
  • Advanced computer skills in Microsoft Office Suite (Word, Outlook, Excel, and Power Point) and Adobe Acrobat are required.
  • One to three (1-3) years of purchasing experience required.


Complexities And Conditions Of Employment


  • This position handles and maintains proprietary highly confidential employee, financial and company information. The utmost care must be taken to assure confidential information and documents are always secure.
  • This position requires occasional nights, weekends, holidays, and after hours' availability.
  • This position requires 0% travel nationwide.
  • This position requires a current and valid driver's license.
