About The Role:
The Provider Relations Coordinator will be the ultimate guide to Octave for new providers and play a key role in their operational success.
This role will contribute to Octave’s mission of expanding access by executing operational processes that allow Octave to quickly grow its team of providers. We want to do our very best for our providers whose values and experience align with Octave’s mission, by facilitating a seamless onboarding process for new providers, and continuously ensuring that providers are set up for success while they are seeing Octave clients. You will play a key role in shaping our clinician onboarding and support processes as we scale.
This exempt position will report to the Provider Relations Director. The position is fully remote with a work schedule of 10am-6pm PST.
The ideal candidate is a strong team player, detail-oriented, and tech savvy with a customer friendly mindset. You are highly organized, performance driven, and thrive off of making sure all your ducks are in a row. You have mastered the art of communication, executing on projects, and crossing things off your to-do list. You enjoy keeping busy and identifying ways to improve operational efficiency.
Responsibilities:
  • Track and monitor hired pipelines of new providers
  • Embody Octave’s mission to deliver extraordinary care in every interaction with providers, vendors, and colleagues
  • Initiate internal onboarding, credentialing, and background check processes
  • Become a subject matter expert in our tools and workstreams to iterate and improve them as we grow and scale
  • Partner with internal cross-functional teams
  • Document processes in an easy to understand manner
  • Drive engagement and proactive outreach to the providers assigned to you at onboarding
  • Troubleshoot issues that new providers may face
  • Reduce the time to onboard providers and chase target goals so clients can receive care faster
  • Participate in initiatives/projects to identify, scope, and implement opportunities for increased efficiencies
  • Ensure providers are set up for success before they see their first Octave client
Experience, Skills, Knowledge And/or Abilities:
  • Ability to work independently, meet deadlines, and engage stakeholders effective to progress initiatives forward
  • Onboarding new hires, building training collateral and conducting evergreen training
  • Excellent verbal and written communication and can adapt your approach to multiple groups
  • Must be eligible to work in the United States without sponsorship now or in the future
  • Experience and understanding of the mental health or healthcare industry preferred
  • Detail oriented and impeccable organizational skills are a must
  • Strong roots in customer service, both internal and external
  • Minimum 3 years of experience working in an administrative or project management capacity
  • Self-starter, willing to roll up your sleeves and be proactive and solution oriented.
  • Nimble and open to frequent change, iteratives processes, and operating in a testing culture
  • We are a startup, so flexibility in role and the willingness to go outside of the exact job responsibilities is a requirement
Starting pay for qualified applicants will depend on a combination of job-related factors, which may include education, training, experience, location, business needs, or market demands. The expected salary range for this role is set forth below and this range may be modified in the future.
The salary range for this role is $60,000 to $75,000
Additionally, this position is eligible for the following benefits: company sponsored life insurance, disability and AD&D plans. Voluntary benefits such as 401k retirement, medical, dental, vision, FSA, HSA, dependent care and commuter/parking options are also available. Octave offers generous Paid Time Off as well as paid parental leave benefits.
