About The Position


The Project Support Associate is responsible for working in an office environment with strong clerical and administrative skill requirements. You need to be comfortable working in a fast-paced atmosphere, be versatile, and adapt to the demanding needs throughout the course of a workday to efficiently address priorities. Must be proficient in using Microsoft Office software and have a sharp mind focused on problem solving. Additionally, extensive excel experience is helpful along with general data management skills. Responsibilities include addressing high volumes of emails and phone calls, self-managing workload, collaborating with colleagues towards task completion, and demonstrating the highest level of professionalism.


Duties And Responsibilities


  • Prepares client invoices as required by the project manager
  • Adheres to all business processes while performing tasks
  • Independently manages specific portions of the project (such as closing projects, destroying documents, reversing funds, etc.), as determined by management. In this capacity, will manage the communication with vendors and ensure that accounting processes are being followed
  • Provides back-up and support for day-to-day communication with class members for cases assigned to others, as needed
  • Manages overall communication to ensure satisfactory responses to each class member’s email by providing guidance to PSAs and monitoring the performance of the communication process
  • Handles sensitive information and data for special cases concerning secure information, as needed
  • Meets regularly with managers to provide feedback and facilitate communication
  • Communicates regularly and effectively with all colleagues
  • Performing other work-related duties as assigned by management
  • Assists project managers with the formatting, proofreading, and testing of any documents, websites, and/or email notices associated with a case, as needed
  • Works effectively with project managers to ensure escalated class member situations are resolved in a timely manner
  • Educates and trains PSAs and administrative associates on case-specific issues, topics, and processes
  • Able to take on new tasks and responsibilities as needed
  • Continually works toward strengthening knowledge of industry and all relevant applications (LP, Law)
  • Proactively reviews and understands all documentation associated with each assigned case. Coordinates with the project manager to ensure the proper understanding of the case by all parties involved
  • Audits the set-up of the assigned cases in Liquid Planner
  • Creates required complex documents like CAFA, declarations and reports and manages the mailing aspects as required by project managers


Qualifications


  • Minimum of (1) year of professional experience in an Administrative Associate position
  • Follow all company rules, policies and practices as contained in the Employee Handbook or as outlined by the company’s CEO/senior management
  • Project a positive, professional image toward clients, vendors and staff in all interactions and situations
  • Must have strong customer support orientation (for internal/external customers) and demonstrated professional demeanor
  • Ability to multi-task and manage time effectively
  • Ability to organize and manage multiple priorities
  • Display the technical skills necessary to perform all job functions
  • Demonstrated ability to independently prioritize tasks
  • Excellent organizational skills with an eye for details
  • Excellent computer skills including all MS Office applications. (Word, excel, outlook, PowerPoint) required
  • Excellent communication and customer service skills a must
  • Ability to be flexible to adapt and act quickly when urgent matters require it
  • Minimum of (2) year of professional experience in an administrative/customer service role
  • Must be able to work independently and within a team and possess a positive, "can-do" attitude


Must be presently authorized to work in the U.S. without a requirement for work authorization sponsorship by our company for this position now or in the future.


Job Type: Full-time; $20/hour
