Job Description

We are currently seeking a passionate and highly organized Project Coordinator to play a vital role in supporting our programs and ensuring successful project execution. As the main point of contact across various teams within our organization, you will be responsible for coordinating and tracking project requirements, managing budgets and contracts, and fostering effective communication with project partners. Additionally, you will have the opportunity to work closely with our Executive Director as the Board of Directors Liaison, assisting in board-related tasks and facilitating seamless communication.
Responsibilities
Project Coordination
Act as a central liaison between program, marketing, and finance teams to ensure smooth collaboration and address cross-functional project needs.
Track and fulfill all funder and contract requirements, including progress reporting, in close collaboration with the program and development teams.
Work alongside the finance and operations team to ensure adherence to project budgets and contract obligations.
Facilitate project kick-off meetings to ensure clarity of roles and requirements.
Develop and maintain task lists and other project management tools to ensure preparedness and effective tracking.
Support the development of materials for funding applications.
Facilitate communication channels with external partners and document important issues.
Maintain organized documentation, reports, presentations, spreadsheets, and other project records.
Assist in the preparation, facilitation, and evaluation of internal and external meetings and events.
Perform other duties as assigned.
Board of Directors Liaison
Coordinate logistics Board of Directors (BOD) and BOD Committee meetings, including correspondence, meeting format, set-up, note-taking, minutes, materials, and follow-up.
Establish timelines and work with the Executive Director and staff to ensure smooth meeting preparation.
Maintain a tracker for BOD action items and secure online portal.
Manage key annual BOD tasks, such as collecting Conflict of Interest and Confidentiality forms, and updating policies.
Support board recruitment and orientation processes as needed.
Collaborate with the Executive Director on prioritized special BOD projects, such as organizing board files, updating orientation materials, and developing new policies.
Basic Qualifications, Experience, And Skills
A bachelor's degree in project management, business administration, communications, or a related field is preferred. However, a minimum of two years of relevant work experience will be considered in place of a bachelor's degree.
Demonstrated interest in our mission and knowledge of energy efficiency, building technology, and environmental policy.
Excellent verbal and written communication skills.
Proficiency in Microsoft Office and Google Office products, as well as various video conferencing technologies.
Strong time management and organizational skills, with a proven ability to meet deadlines.
Detail-oriented with exceptional problem-solving abilities.
Outstanding interpersonal skills and the ability to foster strong partner relations.
Ability to multitask and adjust priorities when necessary.
Comfortable taking direction, working independently, and collaborating with others.
This is a full-time and exempt position, with a flexible remote work arrangement within our 13-state region.
Occasional travel may be required.
