Job Description
Overview


Join Egan Company as a Project Coordinator on the Process Controls & Manufacturing team within the Industrial Controls business group. In this role, you'll provide project coordination support for projects and project teams.


With the flexibility of working hybrid, you can collaborate alongside others with a blend of working in the office and at home.


Responsibilities


  • Perform additional duties and assignments as requested/needed.
  • Provide support to project teams and project managers by assisting with day-to-day tasks (i.e. construction drawings, amendments, supply requisitions, procurement, take-offs, RMAs, material returns, etc.).
  • Compose, edit, and send emails, letters, memos, reports, and procedures.
  • Run and review reports, including job labor and job status reports; assist with labor coordination, when needed.
  • Monitor V-Model for each project and assist with associated tasks (i.e. schedule kick-off and close-out meetings, coordinate tool returns, etc.).
  • Schedule job status meetings and run project labor scheduling meetings.
  • Respond to customer requests for documentation (i.e. Certificates of Insurance and safety).
  • Assist with processing of submittals, RFI's, schedule updates, subcontracts, purchase orders, change orders, billings, and change request pricing.
  • Track job permitting.
  • Assist with updating and maintaining Customer Relationship Management (CRM) system.
  • Promote a positive safety culture and build strong internal partnerships; work collaboratively within group and with other Egan groups to support Egan’s Mission, Vision and Values.
  • Provide assistance with billing and T&M invoicing; work with Accounts Receivable team when needed.
  • Assist in the updating and accurate generation of as-built documents.
  • Create proposal letters, bids for project managers, and subcontract agreements; assist with managing subcontractor document compliance.
  • Assist with assembling O&M manuals.
  • Maintain blueprints/drawings in PlanGrid.
  • Create and maintain project and internal manufacturing schedules using applications such as MS Project, MS Word/Excel, Google Docs/Sheets, and Egan’s Shop Information System (SIS).
  • File and maintain project documents.
Position Requirements


  • Experience in the construction industry and/or working with contractors is highly preferred, but not required.
  • Travel to jobsites and client sites may be required.
  • High school diploma or equivalent.
  • 3+ years’ experience with administrative duties, office administration, general office support or related roles.

Working Conditions


  • Performance of duties will mostly be in the office and/or at home.
  • Travel to jobsites may involve climbing ladders, walking on unleveled ground, being exposed to the elements, dirt, dust, and loud noises.
  • Must be able to stand or sit for extended periods of time.
