Job Description
Job Summary


Woods Hole Oceanographic Institution is seeking a full-time qualified Project Assistant to join a multi-disciplinary team focused on coral reef science and conservation projects spanning multiple countries and collaborators. The Project Assistant will be responsible for coordinating schedules and meetings for the team, organizing team workshops domestically and abroad, assisting with the preparation of reports, maintaining deliverable deadlines, and financial reporting and expenditures. This role is integral to the success of the team’s mission and the successful applicant will work closely with the Principal Investigator and Project Manager. A marine science background is preferred although not required.


The ideal candidate has excellent organizational, writing and communication skills, is passionate about marine conservation, and enjoys team-work in a fast-paced environment that crosses cultures, languages and time-zones.


The internal working title for this position could be either Project Assistant or Project Coordinator. The final level of the position will be determined commensurate with the selected candidate's level of education & experience. This is a regular full-time on-site position and eligible for benefits; the position is guaranteed for one year.


Essential Functions


  • Keep track of communications, prepare and share meeting notes
  • Assist with development of presentation materials
  • Keep track of, and maintain, Project milestones
  • Track project finances, submit expense reimbursements for the lab, and assist with vendor payments
  • Develop, coordinate, and manage schedules, meetings, and workshops for the team
  • Assist with report writing


Education & Experience


Bachelors degree in science or engineering, or equivalent experience.


Experience demonstrating an understanding of the nature of projects.


The ideal Candidate has Experience in one or more of the following:


  • Working on a team that spans multiple time zones
  • Tracking project milestones and deliverables
  • Prioritizating across projects with competing demands
  • Scheduling and calendar management

Physical Requirements


Physical duties for this position include the ability to lift less than 25 lbs and carry up to 10 lbs. Near vision is required as well as being able to work around and with others; as well as working alone while being able to hear and talk. This position is mostly sedentary in nature, requires occasional standing, walking, use of hands for basic/fine grasping/manipulating.
