Job Description
Overview
The St. Jude Liaison Office enhances the partnership between St. Jude Children's Research Hospital and ALSAC by serving as the St. Jude point of contact for ALSAC's marketing needs while balancing the patient care and operational imperatives of St. Jude.
This Program Coordinator - Liaison Office is responsible for management of the Liaison Office special events program. This includes, but is not limited to, planning and implementing high-level institutional, patient, executive, and/or departmental ad-hoc and annual special events and projects assigned to the Liaison Office.
In a fast-paced work environment, this role is ideal for a highly organized natural leader who is confident reimagining special events to provide creative solutions and alternatives that align with current institutional safety guidelines. Excellent customer service and teamwork, flexibility, follow-up, timeliness, attention to detail, accountability for work solutions, and excelling under pressure with urgent requests is required.
The ideal candidate is creative and seasoned in event planning and experienced working in a corporate work environment. Contributing to success in this role are excellent interpersonal and communication skills, seamless management and completion of competing deadlines, and being highly collaborative. As part of this Program Coordinator – Liaison Office role, you may also manage planning committees of people who are not direct reports, so must be comfortable owning and facilitating collaborative meetings and with delegation.
Responsibilities
  • Other duties as assigned.
  • Manages and adheres to event budgets.
  • Manages multiple projects seamlessly and consistently meet deadlines.
  • Develops and tracks metrics, provide complex data analysis & interpretation, and develop event-related reports.
  • Determines, delegates, tracks, and accomplishes all event tasks.
  • Develops processes for better planning, scope management, and risk prevention.
  • Makes recommendations for program or process improvements by providing inputs for systemic changes to event programming.
  • Acquires resources needed for each event or project.
  • Manages all logistical and vendor needs for projects and events.
  • Plans, implements, and manages high-level St. Jude institutional, patient, executive, and/or departmental special events and projects.
  • Creates schedules to include creative development of event activities and objectives, materials, resources, and task lists; follows schedule closely to ensure timely and successful completion.
  • Cultivates and maintains excellent relationships with key St. Jude faculty, staff and ALSAC stakeholders.
  • Ensures that events follow the current institutional safety and access guidelines.
  • Ensures appropriate access to hospital resources for ALSAC related events and donor visits.
  • Manages some institutional event spaces.
  • Responsible for overall event and project success by understanding and meeting all event goals and objectives.
  • Serves as the primary lead and point of contact for special events managed by the St. Jude Liaison Office.
  • Communicates with all related departments, individuals, groups for coordination, approvals, and awareness.
  • Establishes and facilitates planning committees to include related departments, groups, or people.
  • May mentor less experienced team members.
Minimum Education
  • Bachelors degree required.
Minimum Experience
  • Three (3) years of relevant experience required.
  • Experience in event planning strongly preferred.
  • Significant experience working with office project planning tools (e.g., MS Project, Microsoft SharePoint, ServiceNow, Smartsheet, Clarity, Planview, MS Office)
