Job Description
Behavioral Health Practice Operations Manager
We are a group counseling practice located in the Lakeview Neighborhood of Chicago and in Lombard, IL. Our practice is looking for a detail-oriented and empathic professional, to join our team of collaborative professionals. The ideal candidate is someone who thrives in a face-paced environment, is a self-starter, is a project/task manager, has experience managing multiple staff/ clinicians, administering payroll, can assist with metrics and create/maintain policies and procedures. Additionally, our practice's ideal candidate is someone who has experience developing systems and applications that have been successfully implemented in previous behavioral health private practice settings. This position also require overseeing HR-related tasks & operations, managing the administrative task assigned to others, and will participate in the hiring, training, compliance and termination of staff.

Required
  • Experience and proven success in developing and implementing systems
  • Minimum 5 years experience in a management/training position
  • Familiarity with insurance billing, operations and management
: Primary role is to be in-office and oversee daily operations of the practice, including handling client calls for scheduling, billing and general questions. This person will also provide support to the Practice Owner and Leadership Team. The Practice Operations Manager will communicate with Clinicians to support client care, as well as effectively complete or delegate the following tasks: work with prospective new clients to assess for appropriate clinician fit when scheduling and initiate clients' electronic health records, handle collecting copays and balances owed, check benefits, manage sliding scale and payment plans, as well as additional day to day tasks and responsibilities.

This is a full-time position, working M-F
Tasks And Responsibilities
Maintaining EHR, including managing client charts, auditing paperwork and compliance of documentation
Organize and facilitate onboarding/offboarding of staff
Develop and implement necessary systems and use of applications in order to create sustainable, efficient and cost-effective work flows
Facilitate, oversee and train on the setup of new applications and systems with staff
Set up, maintain and practice efficient use of our current and any potential utilized applications (ie: EHR, CRM, phone system, Google Workspace, etc)
Experience with workflow and coding short-cuts such as Zapier a bonus
Maintain and order office supplies and track other office needs, based on a created budget
Bill and collect co-pays
Insurance benefit checks/send EOBs to clients
Create and maintain organization and prioritization of tasks
Create spreadsheets and calculate metrics/ measurements for stats
Act as HR Liason
Track and run Payroll
Announce birthdays/anniversaries and celebrations
Fax/securely email documents to other providers
Provide clients with practice-wide and billing updates
Assist with editing and maintaining practice policies/procedures
Create and maintain No Surprises Act policies
Answer phones and direct calls as needed
Credential new clinicians and be the point person for insurance-provider connection
Confirm intake documents have been received and completed and follow-up with clients as needed
Communicate with therapists about clients
Update office schedules/communicate availability
Send out staff reviews and assessments
Respond to email addresses, voicemails, website inquiries
Send out satisfaction surveys to clients for regular review
Additional tasks/projects as needed
Job Type: Full-time
Salary: $30.00 - $36.00 per hour
