Summary
Work collaboratively to provide surgery scheduling, complex test coordination, as well as post-operative and clinic appointments for Pediatric Orthopedic Surgery patient population. Assist the team to ensure appropriate authorizations, medical clearances, outside medical records, and other required test results are obtained.

Responsibilities*
- Participate in staff meetings and LEAN / performance improvement initiatives.
- Relinquish OR time if surgeon does not have cases to fill the rooms.
- Schedule patients for clinic visits, consultations in other clinics, diagnostic studies, and ambulatory surgery.
- Create correspondence, documents or perform other tasks as directed by physicians and/or supervisor.
- Maintain faculty calendars and communicate clinic schedule changes to clinic team.
- Candidate will be responsible for scheduling surgical procedures.
- Cancel and reschedule OR cases and clinics as needed.
- Manage in-basket messages.
- Work within a team providing cross coverage, as necessary.
- Obtain proper insurance address and documentation requirements for the letter of medical necessity to be sent.
- Answer phone calls promptly and professionally.
- Provide back-up support to the other faculty, when necessary.
- Track pending authorizations.
- Manage faxes, copying and scanning as needed.
- Utilize available OR rooms for other dedicated surgeons.
- Communicate with the patient to confirm OR date.
- Provide diagnosis and/or procedure codes to obtain approval for surgery.
- Enter outpatient surgery authorizations.
- Instruct patients on preparations needed for appointments.
Required Qualifications*
- Knowledge of basic medical terminology.
- Demonstrated active listening, and information technology skills.
- This position requires excellent customer service skills to patient, families, faculty, staff, and peers.
- Prior experience performing complex scheduling
- Strong organizational and interpersonal skills
- Attention to detail is essential.
- Must be a team player with the ability to take direction and be always respectful.
- Ability to complete multiple tasks within established and changing deadlines
- Ability to work well within a team setting.
- Familiarity with obtaining medical records, or professional medical billing.
- Excellent attendance is vital to success in this position.
- Staff members in this classification are expected to exercise judgment in identifying problems, determining cause and implementing solutions.
- Must be patient and have a nurturing personality when dealing with anxious patients.
- High school diploma or GED.
- Demonstrated effective verbal and written communication skills with excellent computer skills in a medical office/outpatient practice.
- A minimum of 3 years of related experience.
- .All candidates must demonstrate a positive and professional attitude, providing outstanding customer service in all interactions.
- Ability to obtain reasonable knowledge of university policies and procedures.
Desired Qualifications*
- Knowledge of university policies & procedures.
- Strong administrative skills.
- Surgery scheduling experience.
- Experience working within a large, complex healthcare setting.
- Knowledge of the following software programs: Endnote, M-Pathways, Outlook, OpTime and MiChart (EPIC). Ability to quickly become proficient in the use of new software.
- Familiarity with Michigan Medicine's electronic medical record systems.
Work Schedule
This position will work dayshift 8-4:30 Monday through Friday. Hours and location may be adjusted as needed based on the needs of the operation.
Background Screening
Michigan Medicine conducts background screening and pre-employment drug testing on job candidates upon acceptance of a contingent job offer and may use a third party administrator to conduct background screenings. Background screenings are performed in compliance with the Fair Credit Report Act. Pre-employment drug testing applies to all selected candidates, including new or additional faculty and staff appointments, as well as transfers from other U-M campuses.
