Job Overview


The Operations Supervisor provides supervision to a team of administrative support. The supervisor is responsible for coaching, mentoring, modeling best practices, scheduling, managing Paid Time Off (PTO) and day-to-day performance for direct reports. The supervisor is responsible for monthly audits/scorecards and communicating as appropriate.

Department: North Campus Administration
Hours per week: 40, eligible for benefits
Shift: Monday through Friday and some weekends.

Qualifications

  • Equivalency: Bachelors’ degree in Administration, Health Care Administration, Management, Finance, or related field will substitute for the required experience on a year-for-year basis.
  • Experience: Minimum of two (2) years previous relevant experience in a health care setting.
  • Education: High School diploma or equivalent.

Responsibilities


POPULATION SPECIFIC CARE

  • No direct patient care.

ESSENTIAL FUNCTIONS

  • Manages day-to-day administrative operations, including staffing.
  • Establishes team communication norms and staff rounding.
  • Participates in labor cost and financial component decisions related to day-to-day operations.
  • Provides and utilizes productivity reports for the department to assess performance of entire team.
  • Acts as a working supervisor and remains available to provide coverage for administrative/support staff.
  • Establishes and maintains partnerships across the hospital with operational, clinical, faculty/provider leadership.
  • Manages, mentors, and supports staff on a daily basis.
  • Reviews customer service score cards and work quality with staff (phone call monitoring, customer surveys, and etc.).
  • Other duties as assigned.
  • Creates a culture and atmosphere that will lead to a high level of employee engagement.
  • Ensures proper training of staff by utilizing the resources available within the team.
  • Performs Kronos and other relevant time keeping administration.
  • Assigns and manages day-to-day work flow for staff.
  • Implements and evaluates strategies to improve employee performance including performance improvement plans and making final determination on terminations of employment.
  • Develops clear goals and objectives for performance management and effectively communicates accountability.
  • Recruits, screens and selects applicants for administrative support roles.
  • Educates all staff on job processes.

  • Decision Making: Employee is responsible for simultaneous coordination and supervision of several functions, programs, or projects in various stages of completion. Primary responsibility for arranging and directing the work of two or more employees.
  • Supervision Received: Under managerial direction, the employee has personal accountability for carrying out the work objectives of an organizational unit or section within the scope of established guidelines and the mission of the organization or department. Employee is expected to resolve problems that arise in the normal course of the work. Work may be discussed with higher level supervisors and reviewed for soundness of judgment and feasibility of decisions.
  • Communications: Contacts are of a non-prescribed nature involving the negotiation and resolution of problems and where exceptional degrees of discretion, judgment, and specialized knowledge are required in carrying out the programs and policies of an organization.
  • Complexity: Work assignment is generally unstructured and employee is responsible for assigning and supervising a variety of functions to achieve the objectives of the section, unit, or project. Duties performed involve weighing and evaluating factors requiring judgment, analytical ability, and problem solving.
  • Guidelines: Guidelines are in the form of stated objectives for the section, unit, function, or project. Is normally the first level of full supervision in a classification series. Performs most elements of supervision over 50% of the time. May also perform the work of front line staff as needed.

Salary Information

Annual Salary Range (Based on 40 hours worked per week): $60,268.03 to $90,402.04
Hourly Salary Range: $28.98 to $43.46
